Purpose of the Role BGIS is seeking a proactive and engaging Programmed Works Coordinator to manage the administrative interface between Work Supervisors, Subcontractors, and Clients. You will ensure accurate job planning, resource allocation, and progress tracking. Reporting directly to the Delivery Administration Manager, you will collaborate with both client and BGIS teams to ensure Work Orders are completed efficiently, accurately, and within required timeframes. Your role will drive a culture of compliance, collaboration, and operational excellence. The ideal candidate will be organised, communicative, and process-driven, with a keen attention to detail and the ability to manage a high volume of work in a fast-paced environment. Key Responsibilities Review Programmed Work Orders and develop trade-specific work programs, assigning appropriate supervisors and subcontractors. Issue, track, and update Work Orders in internal systems, ensuring progress is accurately reflected. Support Work Supervisors with compliance documentation, system updates, and resolution of operational issues. Conduct contractor checks, escalate non-compliance, and ensure feedback aligns with reporting standards. Generate and maintain reports on performance metrics and work-in-progress (WIP) to support effective delivery. Experience, Skills & Qualifications Essential Advanced administrative and organisational skills: Demonstrated ability to manage large volumes of information, maintain structured records, and support efficient workflow coordination. Strong written and verbal communication skills: Able to draft clear, concise correspondence and confidently communicate with internal teams, contractors, and stakeholders. Proven experience in data entry, preparing documents, and reporting: Comfortable working with data across multiple platforms, ensuring accuracy in reporting and the preparation of formal records or summaries. Ability to manage competing tasks, follow procedures, and meet deadlines : Capable of prioritising work effectively, remaining detail-focused while handling time-sensitive tasks in a dynamic environment. Proficient in using digital systems and tools: Experienced with Microsoft Office and/or Evolution Software and adaptable to internal systems and new technologies. Desirable Experience working with subcontractors and within trade service environments. Understanding of the building/construction industry. Administration or Data Entry qualifications. Workplace Flexibility This position will initially be based on-site at our Sydney Head Office.
