Waverley Vascular Group is a busy specialist vascular surgery practice based on South Terrace with free on-site parking available to all staff. Our practice is growing and are seeking a friendly, organised and reliable Medical Receptionist/Secretary to join our growing team on a part-time contract (20 hours per week) for 12 months with the potential for additional hours from October 2026 and extension beyond the initial contract to permanent employment for the right candidate. About the Role: As the first point of contact for our patients, you will play a key role in ensuring the smooth day-to-day operation of our specialist practice. Working alongside our administration team, your responsibilities will include: Welcoming patients and providing outstanding customer service Managing appointments and specialist clinic schedules Coordinate and schedule inpatient procedures/hospital admissions, and liaising with hospitals, patients, anaesthetists and assistant surgeons to coordinate lists and pre-admission requirements Answering a busy multi-line telephone system and managing incoming emails Processing patient registrations and maintaining accurate medical records Managing referrals, medical correspondence and documentation Preparing and billing patient accounts including EFTPOS payments, Medicare/DVA and ECLIPSE claiming, and preparing quotes for patients Liaising with doctors, hospitals, GPs and allied health professionals Medical typing General administrative and reception duties including SMS reminders, scanning, clinic preparation etc About You: The successful applicant will have: Previous experience as a Medical Receptionist/Medical Administration Sound computer skills and the ability/confidence to learn new software quickly Excellent communication and interpersonal skills A professional, compassionate and patient-focused approach Strong organisational skills with excellent attention to detail The ability to work independently and as part of a supportive team Flexibility to cover leave Desirable (but not essential): Experience using Gentu practice management software Knowledge of Medicare billing Previous medical typing experience Previous experience in a specialist practice What We Offer: Above award wages based on experience A supportive and welcoming team environment with flexibility around rostering Free undercover staff parking & modern consulting rooms Two week practice closure over Christmas/New Years Opportunity for additional hours from October 2026 Potential for contract extension or ongoing employment for the right candidate If you are an organised, motivated and caring individual who enjoys working in a fast-paced healthcare environment, we would love to hear from you.
