We are seeking a highly organised, professional and proactive Training & Development Executive Assistant to provide high-level executive and administrative support to our senior Training leadership team. This is a dynamic and diverse role that combines traditional Executive Assistant responsibilities with training coordination, stakeholder engagement and training administration. The successful candidate will be a trusted support to senior managers while ensuring the efficient coordination and delivery of training and development activities across the organisation. About the Role Reporting to the Head of Training, you will be responsible for providing exceptional executive support while coordinating a range of operational and training-related activities. Key responsibilities include: Executive Support Provide high-level administrative and executive support to senior managers. Manage complex calendars, appointments and meeting schedules. Prepare reports, presentations, correspondence and briefing materials. Coordinate meetings, agendas, minutes and follow-up actions. Manage travel arrangements, accommodation and logistics. Act as a key liaison between senior leaders, employees and external stakeholders. Handle confidential and sensitive information with professionalism and discretion. Training & Development Coordination Coordinate training programs, workshops, meetings and learning events. Manage training schedules, bookings and participant communications. Support trainers and facilitators with administrative requirements. Prepare and distribute training materials and resources. Maintain training calendars and learning records. Assist with onboarding and employee development activities. Compliance, Reporting & Systems Maintain accurate training, attendance and assessment records. Assist with Learning Management System (LMS) administration. Support reporting requirements and performance metrics. Assist with training compliance and quality assurance activities. Support the administration of nationally recognised qualifications and training programs. Ensure data integrity, record accuracy and confidentiality. About You You are an experienced Executive Assistant or senior administrator who can confidently support senior leaders while managing multiple priorities in a fast-paced environment. You will demonstrate: Proven experience providing high-level executive support to senior managers or executives. Exceptional organisational and time management skills. Strong attention to detail and ability to manage competing priorities. Excellent written and verbal communication skills. Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint. Strong stakeholder engagement and relationship management skills. The ability to work autonomously while contributing positively to a team environment. A professional, proactive and solutions-focused approach. Essential Requirements Experience working with Aboriginal and Torres Strait Islander people, communities and stakeholders. Demonstrated ability to work in a culturally safe, respectful and inclusive manner. Working knowledge of nationally recognised qualifications and training compliance requirements. Experience in executive support, office management, training administration or a similar role. Ability to maintain confidentiality and exercise sound judgement when handling sensitive information. Desirable Requirements Certificate IV in Training and Assessment (TAE40122 or equivalent). Experience within a Registered Training Organisation (RTO), Vocational Education and Training (VET), Human Resources or Learning & Development environment. Experience using Learning Management Systems (LMS) and training management systems. Understanding of training compliance, quality assurance and reporting requirements. Why Join Us?
