Job Description Position: APS4 Records Services Officer Location: Brisbane, QLD Start date: ASAP Duration: Approx. 6 months with potential to extend Pay rate: $54.88 per hour plus 12% super Requirements: Must be an Australian citizen at time of application and have records management experience (preferred) Overview Our Federal Government client is seeking an APS4 Records Services Officer to join their Records Operations team. This role supports the preparation, coordination, quality assurance, and transfer of physical records to the National Archives of Australia (NAA). This role combines hands-on operational records management activities with coordination and quality assurance responsibilities. The successful candidate will support records preparation activities, review documentation and metadata, provide guidance to team members, and contribute to the efficient delivery of records management operations in accordance with established procedures and work health and safety requirements. Responsibilities • Prepare paper records for transfer in accordance with established procedures and work instructions. • Coordinate records preparation activities for defined record groupings, including sequencing and prioritising work to meet agreed deadlines. • Review and quality assure transfer lists, metadata, and supporting documentation prepared by APS3 staff. • Identify documentation and metadata issues and ensure corrective action is undertaken prior to submission. • Consolidate records information and supporting documentation into transfer proposals and NAA consignment paperwork. • Update and maintain metadata within approved records management systems. • Liaise with the National Archives of Australia and other stakeholders regarding operational records transfer matters. • Monitor work progress and escalate risks, issues, or delays to the Team Leader as required. • Provide technical guidance and support to APS3 staff undertaking records preparation activities. • Identify opportunities for process improvements and contribute to continuous improvement initiatives. • Undertake manual handling tasks, including moving archive boxes and packing pallets, in accordance with WHS requirements. • Support records management projects and undertake additional duties as directed. E xperience/Requirements • Experience in records management, information management, administration, operational support, logistics, or a similar environment (records management preferred) • Demonstrated ability to apply established procedures and exercise judgement to ensure work is completed accurately and efficiently. • Experience reviewing, validating, and maintaining data, records, documentation, or metadata. • Strong attention to detail and ability to identify and resolve issues within established guidelines. • Experience using Microsoft Excel and other digital systems to track, review, and report on work activities. • Ability to coordinate work activities, manage competing priorities, and meet agreed deadlines. • Demonstrated ability to provide guidance, quality assurance, or support to team members. • Strong written and verbal communication skills, with the ability to liaise effectively with internal and external stakeholders. • Ability to work independently while contributing positively to a team environment. • Commitment to workplace health and safety requirements. • Ability to undertake manual handling duties, including lifting boxes up to 10kg.
