About the Role We are seeking a motivated Project Administrator (Site-Based) to support the successful delivery of our projects. Working closely with Project Managers and site teams, you will play a key role in coordinating project activities, maintaining documentation, and ensuring seamless communication across stakeholders. Key Responsibilities Project Administration Prepare and maintain project reports, documentation, and site records Coordinate meetings, take minutes, and track key actions Support project planning, scheduling, and resource coordination Manage travel and accommodation bookings for project teams Assist with invoicing, claims, and task tracking Project Support & Coordination Provide day-to-day support to Project Managers and site teams Track project progress, deliverables, and timelines Liaise with internal teams, clients, and stakeholders Ensure effective communication and timely updates across projects Financial & Risk Support Assist in tracking project budgets and costs Help identify risks and support mitigation activities Support finance teams with reporting and cost control Tender & Business Support Assist in preparing tender submissions and proposals Support business development activities as required Team & Site Support Provide general administrative support across project teams Maintain strong working relationships across stakeholders Support HSEQ requirements and site compliance activities About You Essential Minimum 2 years’ experience in a project admin or coordination role Experience with Pronto (or similar ERP systems) Proficiency in Microsoft Office & MS Project Strong communication and organisational skills Ability to manage multiple priorities and meet deadlines Desirable Diploma in Project Management (or working towards) Certificate IV in WHS Experience in construction, infrastructure, or energy projects Additional Requirements Willingness to work site-based and travel as required Ability to work flexible hours to meet project demands Comfortable working across both office and field environments Why Join EPEC?
