About the role Part time permanent position (4 days/week) based in Canberra, ACT. This is an opportunity to play a critical role within the small and highly dedicated Policy and Government Relations Directorate. The role offers exposure to a wide range of policy issues and the chance to work closely with teams across the organisation while supporting Dementia Australia's advocacy agenda. Reporting directly to the Executive Director Policy and Government Relations, you will be responsible for: Diary management: Planning and scheduling meetings and activities in collaboration with the Executive Director Managing invitations and correspondence to and from the Executive Director, including responding, rescheduling and prioritising accordingly, keeping the Executive Director informed Preparing action schedules in advance of meetings, and provide secretarial support including agenda preparation and distribution and minute taking Answering, screening, and directing telephone calls and emails in an appropriate and timely manner Organising appropriate venues, catering and travel arrangements Ensuring authorisation and payment of invoices and expenses Streamlining processes to manage the flow of information to and from the Executive Director, ensuring efficiency, consistency and accuracy. About you To be successful in this role, we are looking for someone with the following: Tertiary degree in a relevant discipline (Business or Administration or similar) OR lesser formal qualifications (Cert IV in Business or Administration or similar) Minimum two years of experience in a complex, busy executive assistant or administration role Experience managing an executive office in a geographically dispersed organisation Excellent time management skills to organise and prioritise work demand Great people skills and proven track record building and maintaining relationships with key stakeholders (internally and externally) Demonstrated energy, flexibility and a can-do attitude, sense of humour and a commitment to personal growth Experience using available technologies and information to maximise efficiency (including MS Office Suite. AI platforms).
