About the role: The Secure Journeys Reporting and Correspondence Officer plays a critical role in ensuring accurate, timely, and high-quality reporting and correspondence across the organisation. This position supports manages reporting schedules and coordinates responses to internal and external stakeholders. It requires a high level of attention to detail, excellent organisational and time management skills and highly developed written communication abilities. This is a full time, site-based position at our Canberra office. Key responsibilities: Prepare, edit and coordinate contractual reporting and updates, as well as corporate and Secure Journeys Senior Leadership team updates Liaise with internal teams and subcontractors to gather accurate data and meet reporting deadlines Manage the receipt, registration, allocation, and tracking of IDN Leadership, Department and broader stakeholder correspondence Draft, proofread, and review written correspondence to ensure clarity and accuracy Provide secretariat support to the Senior Contract Director and IDN Leadership team Maintain correspondence and reporting registers Maintain templates, registers and style guides to support consistent reporting practices Monitor reporting schedules and ensure timely delivery of reports Key experience: High level of professionalism, discretion, and judgement in handling sensitive information and correspondence. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other reporting tools, with the ability to adapt to new systems quickly. Tertiary qualifications in Business Administration, Communications, or a related field (preferred) Demonstrated experience in preparing, editing, and coordinating contractual and corporate reports, with the ability to meet strict deadlines and ensure accuracy. Strong stakeholder management skills, with proven ability to liaise effectively with internal teams and subcontractors to gather and validate data. Excellent attention to detail and analytical skills to identify and resolve data discrepancies before submission. Proficiency in maintaining templates, registers, and style guides to support consistent reporting practices across the organisation. Highly developed written communication skills, including drafting, proofreading, and reviewing correspondence to ensure clarity, consistency, and alignment with organisational values. Experience managing correspondence processes, including receipt, registration, allocation, and tracking, with the ability to escalate sensitive matters appropriately.
