About the Role This is an exciting opportunity for a highly organised and proactive Executive Assistant to work closely with the CEO – ANZ and Regional Director West Coast in a fast-growing and dynamic business. The role offers exposure to senior leadership, involvement in key business initiatives, and the chance to make a real impact across the ANZ and WA operations. Supporting executive coordination, stakeholder engagement, events, travel, and business operations, this position is perfect for someone who thrives in a fast-paced environment, enjoys taking ownership, and brings a strong “can-do” attitude. Key Responsibilities As Executive Assistant to CEO Executive Support Manage the CEO’s calendar, meetings, travel, expenses, and priorities with efficiency and professionalism. Prepare presentations, reports, correspondence, and briefing materials to a high standard. Anticipate needs, coordinate logistics, and proactively resolve scheduling or operational issues. Stakeholder & Leadership Coordination Act as a key liaison between the CEO and internal/external stakeholders. Coordinate Board, Executive Committee, and leadership meetings, including agendas, papers, minutes, and follow-up actions. Build strong relationships across the business while maintaining professionalism and confidentiality. Business & Operational Support Support strategic initiatives, leadership workshops, and internal communications across the ANZ business. Manage administrative processes, approvals, reconciliations, and reporting requirements. Continuously improve systems, processes, and workflows to enhance efficiency within the CEO’s office. Confidentiality & Professionalism Handle highly sensitive and confidential information with absolute discretion. Exercise sound judgment, initiative, and problem-solving in a fast-paced environment. West Coast Responsibilities Provide high-level administrative and operational support to the WA business. Coordinate project and proposal documentation, tenders, reports, presentations, and submissions. Maintain accurate document control, filing systems, project records, and proposal folders. Support bid and proposal activities in collaboration with the national pursuit team. Use Microsoft 365 and AI tools to improve efficiency, streamline processes, and produce high-quality outputs. Manage office coordination, supplier liaison, timesheets, and general administration activities. Ensure compliance with IMS, WHS, and company standards while driving continuous improvement initiatives. About You Skills and Experience Advanced proficiency in Microsoft 365 suite including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint. Strong document production and formatting capability across reports, tenders, submissions, specifications, presentations, capability statements, and CVs. Experience with desktop publishing and design tools such as Adobe InDesign and Photoshop highly regarded. Experience using, or willingness to adopt, AI tools such as Microsoft Copilot, Gamma, Claude, and Perplexity to improve productivity and workflow efficiency. Exceptional organisational and time management skills with the ability to manage multiple priorities in a fast-paced environment. Strong stakeholder engagement, interpersonal, and communication skills. High attention to detail with a strong focus on quality, accuracy, and professionalism. Experience supporting bids and tenders is desirable. Knowledge of BST or similar project management systems is advantageous.
