We are currently seeking an experienced, organised, and proactive NDIS Administration and Intake Coordinator to join our team. About the Role As the NDIS Administration and Intake Coordinator , you will play a key role in the smooth operation of the business by supporting both participant intake and onboarding and staff intake, onboarding, and compliance administration . You will be one of the first points of contact for participants, families, nominees, guardians, staff, and providers. Your ability to manage documentation, coordinate onboarding processes, maintain accurate records, and support compliance systems will be essential to the success of this role. This role is ideal for someone who is highly organised, detail-oriented, confident in communication, and committed to delivering a high standard of service and administration. Key Responsibilities Manage incoming phone calls, emails, and office enquiries in a professional and timely manner Coordinate participant intake, participant onboarding, and service commencement processes Prepare, collect, and follow up service agreements, consent forms, referral documents, intake packs, and onboarding paperwork Maintain accurate and up-to-date participant records, compliance documentation, and service files Ensure all participant documents are complete, current, and recorded in line with organisational, operational, and compliance requirements Coordinate staff intake, staff onboarding, induction administration, and new employee documentation Maintain and monitor staff compliance records , including NDIS Worker Screening Checks, Working with Children Checks, driver’s licences, qualifications, training records, and other mandatory documents Follow up outstanding staff and participant documents to ensure records remain complete and current Support internal compliance checks, file audits, record management, and document control systems Assist with general office administration, scheduling support, staff coordination, and day-to-day operational tasks Liaise professionally with participants, families, guardians, nominees, staff, and external providers Prepare correspondence, reports, administrative documents, and internal records as required Ensure all information is handled with a high level of accuracy, confidentiality, and professionalism Contribute to continuous improvement of intake, onboarding, and administrative systems About You To succeed in this role, you will be a professional and reliable administrator who takes pride in maintaining high-quality records, supporting compliance, and creating a positive experience for participants and staff. You will bring strong organisational skills, excellent communication, and the ability to manage multiple priorities in a busy and growing environment.
