Job Description YOUR ROLE The Planning & Infrastructure Group works collaboratively with schools to reduce administrative burden by managing the planning, delivery and maintenance of school and corporate infrastructure assets across MACS. Supporting approximately 300 Catholic schools and seven corporate facilities, the Corporate Services Team oversees essential facilities management, maintenance, compliance and operational services. The Facilities Officer plays a key role in supporting corporate facilities through reactive maintenance, minor capital works and coordination of service providers, while delivering responsive customer service and maintaining strong stakeholder relationships across schools and corporate offices. WHAT YOU WILL DO Respond to maintenance support requests across corporate sites, including supporting the HEAT management system, engaging contractors in a timely manner and monitoring monthly KPI reporting. Ensure task risks, compliance requirements and key documentation are accurately recorded within the MACS approved Information Management System, with regular reporting provided to the Team Leader, senior staff and Executive Leadership Team. Support the supervision of small contracts, cyclical maintenance activities and corporate security services across MACS corporate facilities. Prepare, review and maintain correspondence, reports, documentation, spreadsheets, meeting agendas, minutes and reporting templates for Melbourne Archdiocese Catholic Schools management. Demonstrate innovation and operational excellence while working collaboratively in an agile environment across various offices and schools. ABOUT YOU Demonstrated ability to initiate and develop logical administration systems to improve efficiency and effectiveness within a fast-paced environment. Well-developed written and verbal communication skills, including the ability to prepare reports and briefings and build effective relationships with internal and external stakeholders, including school Principals, consultants, Government Agencies and senior personnel across MACS and the Catholic Archdiocese of Melbourne. Strong interpersonal, customer service and emotional intelligence skills, with the ability to communicate professionally and collaboratively with a broad range of stakeholders. High level proficiency in relevant software applications, particularly the Microsoft Office suite. Excellent time management, organisational skills and attention to detail, with the ability to prioritise workloads, meet strict deadlines, and maintain confidentiality and privacy.
