Description Email Inbox Management: Manage and maintain personal email inbox, ensuring timely responses and organisation. Phone Management: Receive and direct incoming calls. Events Management: Lead coordination and execution of work events, including planning, logistics, and on-the-day support [internal and external]. Credit Card Reconciliation: Complete reconciliation for management; expenses, ensuring accuracy and timely processing. Travel Coordination: Arrange travel for management: including flights, accommodation, and car services. Financial Administration: Process purchase orders and invoices, ensuring correct documentation and timely handling. Building & Facilities Management: Coordinate, report office maintenance and facilities issues. Office Supplies & Stock Management: Monitor and replenish office supplies including kitchen items and stationery, ensuring adequate stock levels. On-boarding & Off-boarding Coordination: Manage administrative setup and exit processes for recruitment consultants, ensuring smooth on-boarding and off-boarding. Proposals, Reports & Client Deliverables: Prepare and format proposals and client-facing documents. Provide occasional support to Executive and Management teams on larger proposals and deliverables. IT Support Liaison: Provide basic IT support and coordination with IT providers where required to wider office. Profile Highly organised with a sharp eye for detail , ensuring nothing slips through the cracks in a fast-paced environment. Strong Communicator, able to convey ideas clearly and professionally both in writing and in person. Skilled at juggling priorities, managing multiple tasks while consistently meeting deadlines. Proactive and solutions-orientated, always looking for ways to improve processes and outcomes. Professional, approachable, and relationship-focused, building strong connections with stakeholders at all levels.
