NT Health is seeking an experienced Executive Assistant to provide high-level executive, administrative and operational support to the Regional Executive Director (RED), East Arnhem Region. This role is ideal for a highly organised professional who thrives in a fast-paced executive environment, enjoys coordinating complex schedules and communications, and can manage confidential information with professionalism and discretion. You will play a key role in supporting leadership and operations within the East Arnhem Regional Health Service, helping ensure the smooth day-to-day functioning of the Executive office. Key responsibilities Executive support Provide high-level administrative and executive support to the Regional Executive Director. Manage complex calendars, email correspondence and meeting coordination. Arrange travel, prepare documentation and support daily executive operations. Meetings and governance Coordinate meetings, committees, working groups and events. Prepare agendas, manage logistics and take meeting minutes. Office operations and administration Maintain administrative systems, databases, registers and records management processes. Support efficient office workflows and information management. Procurement and financial administration Manage procurement activities including purchasing, travel bookings and credit card processing. Stakeholder liaison Engage professionally with internal staff, executive leadership, the Minister’s office, external stakeholders and members of the public. Workplace standards Follow service quality standards, workplace health and safety policies and organisational procedures. About you Demonstrated experience providing administrative support to a senior leader or executive, including managing calendars, scheduling meetings, handling correspondence and maintaining confidential files and records. Proficient in the use of MS Office (Word, Excel, Outlook, Teams, and PowerPoint), record management systems and major business systems, with a willingness to adopt new technology. Well developed professional, interpersonal, and influencing skills with the ability to communicate effectively (both written and verbal) with a diverse group of stakeholders, build positive working relationships across the organisation, and interact effectively with people from diverse cultures. Prior experience operating in a fast-paced environment with a strong organisational and time management skills with the flexibility to manage changing priorities and work independently with minimal supervision. Strong attention to detail, supported by sound analytical and problem-solving skills, with the ability to identify issues, confirm priorities, develop creative solutions, and appropriately delegate or escalate to achieve positive outcomes. Demonstrated ability to maintain a high degree of sensitivity, tact, discretion and exercise sound judgement in dealing with confidential and sensitive matters. Experience with office procedures, including arranging travel, payment processes, supply management, credit card management, data sourcing and entry, and records management.
