Material & Site Administrator (FIFO) – Pilbara Region, WA Partnership opportunity with NMT Projects Be part of an industry leader, delivering Wind turbine equipment Karlayura Personnel is partnering directly with NMT Projects , a global leader in delivering complex cargo solutions, on an ambitious project across the Pilbara Region of Western Australia. This project will see the Karlayura Personnel team working on a complex, end-to-end logistics program alongside NMT Projects, delivering a series of wind turbine blades, nacelles, towers, and associated equipment from Port Hedland to project sites across the Pilbara. We are currently seeking experienced Material Administrators and Site Administrators to support this major project. These roles will be FIFO and play a critical part in ensuring smooth site operations and material coordination. Key Responsibilities Data entry and maintenance of project tracking reports and variation registers Accurate record keeping of personnel movements onsite Assist with site-based inductions for new arrivals Compile and prepare weekly reports Maintain and update employee rosters using Deputy (including RDOs and sick leave) Ensure completion of employee documentation (leave forms, etc.) Coordinate PPE, kitchen supplies, and stationery orders via Perth office Conduct ad hoc reporting, analysis, and presentations Organise vehicle servicing as required Support site-based accounts processes and administrative workflows Data entry of connotes, delivery orders, relocation orders, and invoices Attend site meetings with clients and suppliers as required Liaise with Perth Accounts team regarding documentation Liaise with Perth Mobilisation team on arrivals, changes, and certifications Assist site team with timesheet completion Provide support with Track’em system where required Skills & Experience Minimum 3 years’ experience in administration Previous project experience within a complex logistics environment Experience working with oversize and heavy cargo projects highly regarded Prior FIFO/site-based experience preferred Strong organisational and communication skills High attention to detail and ability to manage competing priorities Proficiency in Microsoft Office Suite Strong data entry capability Licences & Qualifications Current, unrestricted C Class Driver’s Licence Construction White Card (essential) High Risk Licence (desirable) Forklift Licence (desirable) Personal Competencies Teamwork and collaboration Strong judgment and problem analysis Ability to gather and interpret information effectively Tenacity and resilience in a fast-paced environment Flexibility and adaptability Reliability and accountability Decisiveness and initiative Commitment to excellence and high-quality execution What’s on Offer Opportunity to work on a large-scale renewable energy project Join a leading logistics provider on a high-profile program FIFO roster with ongoing work opportunities Supportive team environment with career growth potential If you’re ready to be part of a landmark logistics project in the renewable energy sector, apply now with Karlayura Personnel.
