Bondi Junction $80,000-$110,000 super Newly created role About the Role Our client is growing quickly and requires an experienced Legal Secretary / Practice Manager to oversee the operational performance of their firm. This is a hands-on role responsible for ensuring the smooth running of the practice, optimising systems within Smokeball, and providing executive support to the Managing Partners. This position is ideal for a proactive "all-rounder" who is experienced in a legal environment and who enjoys being the 'Captain of the Ship' Key Responsibilities Practice Management & Operations Hands on day-to-day operations of the firm Manage and optimise workflows within Smokeball, including matter setup, precedents, automation and reporting Maintain and improve office systems, policies and procedures Troubleshoot operational and IT issues as they arise Monitor file management standards and ensure best practice usage Oversee facilities management, supplier relationships and service contracts Ensure compliance with regulatory and professional obligations Open and close matters Financial Management Monitor WIP, disbursements and debtor management Trust and office accounting / invoicing Time recording and billings Executive Assistance & Administrative Support Provide administrative support to the Managing Partners Manage calendars, meetings and scheduling Act as a key liaison between Partners, staff and external stakeholders Reception and general office administration Oversee office and kitchen supplies Manage IT coordination, liaising with external providers Support marketing initiatives and client engagement activities About You Previous experience as a Legal Secretary, Practice Manager or Office Manager within a law firm Working knowledge of Smokeball or LEAP, including billing and reporting Exposure to WIP management and trust accounting requirements Demonstrated ability to implement or improve systems and processes within a legal practice High level of discretion and professionalism Strong financial literacy and analytical capability Advanced Microsoft Office skills and typing speed Excellent organisational and communication skills Ability to multitask, manage competing priorities and wear multiple hats What they Offer A key operational role within a modern legal practice Opportunity to drive efficiency through technology and process improvement Supportive and collaborative team environment Please APPLY here or email karolina@eliasrecruitment.com
