Office Administrator - Construction Industry Your new company Would you describe yourself as a proactive, loyal, motivated Office Administrator? I am currently recruiting for a temp-perm Office Administrator to join a dynamic, supportive, reputable civil construction company based in the Inner West. The successful candidate will bring strong administrative capabilities, a proactive mindset, and a genuine desire to contribute to a high-performing team. Your new role Provide administrative support to the Divisional Manager Document and coordinate regular team meetings Credit card reconciliation for senior management Manage uniform stock levels Coordinate training programs, bookings, and licence validity Maintain training registers and monitor expiry dates Process weekly timesheets Follow-up leave documentation and maintain accurate records Update registers and internal systems Chase debtors and manage key accounts Vet and source suppliers Prepare communication packages and internal training materials Assist with client contact and business development Arrange hospitality and event logistics Maintain office supplies and order sundries Create and issue policies and procedures for new starters Track Personal Development Plans and notify management Liaise with Operations Manager regarding fleet vehicles and fuel card updates Coordinate interviews and employment offers and draft employment contracts for review Manage onboarding: paperwork, IT requests, desk setup, business cards, phones Book pre-employment medicals Issue induction paperwork and ensure accurate submission to payroll Deliver company induction to new employees & process leave forms and update calendars Maintain new starter documentation and folders Coordinate exit processes and ensure return of company assets Create site diaries Liaise with suppliers regarding outstanding accounts Attend property inspections and organise cleaning as required Send credit applications to purchasing What you'll need to succeed Minimum five years experience in a similar administrative role Experience within the civil construction sector is highly advantageous Confident communicator with a client-focused approach Strong time management and organisational skills Ability to work autonomously and manage competing priorities Willingness to learn new processes and systems Proficient in Microsoft Office (Word, Excel, PowerPoint) Professional communication skills with internal staff, external stakeholders, and senior executives High level of efficiency, initiative, and commitment Positive, welcoming personality with a strong can do attitude Experience working with both blue and white collar workforces is beneficial.
