We are currently recruiting for a warm, professional, and highly organised Receptionist Administrator The Receptionist Administrator plays a vital role in ensuring exceptional customer service and smooth operation of facilities. This position involves managing front desk operations, assisting staff, visitors, coordinating facility requests, and customer support. The role requires strong interpersonal skills, attention to detail, and a proactive approach to problem-solving. What you'll do Provide administrative support to the Facilities Manager and wider team. Manage front-of-house: greet clients and guests, escort visitors, coordinate refreshments, and oversee communal area activities. Process facility-related invoices in Concur and register all visitors in the Visitor Management System. Act as the central contact for internal departments and contractors across email, phone, mail, and on-site queries. Verify contractor work authority and required safety documentation before commencement. Issue security access cards for all Australian sites and prepare access reports as needed. Coordinate visitor car parking and manage courier/postal services. Oversee meeting room setup, equipment checks, catering orders, and refreshment delivery. Log and escalate IT/AV/room equipment issues promptly. Maintain stationery levels and general office supplies. Uphold strong security awareness, emergency procedures, and Health & Safety standards. Stay informed on industry trends and facility management best practices. Provide first aid when required and perform fire warden duties for the ground floor.
