Shared Services Lead - ( 2600006L ) Description About the role We are seeking a Sydney-based Shared Services Lead to support and oversee our New South Wales offices. In this role, you will lead and manage Shared Services teams across multiple locations that include Kent St, St Leonards, Wollongong, Parramatta and Newcastle, ensuring the delivery of high-quality administrative and office management services. You'll play a key role in creating efficient, welcoming and safe workplaces, while helping maintain a consistent "one company" experience across Australia. This role also partners closely with Finance, HSSE, HR, IT and local leaders to deliver initiatives, events and operational improvements that support our people and the business. Day to day tasks would involve: Management of shared services team over multiple office locations Work across multiple offices with travel required Provide leadership and coaching to Shared Services staff to ensure the provision of exceptional service to both internal and external clients Assist with the evolving needs of the business including assisting office co- locations, new processes, etc. Act as a key point of contact for internal and external stakeholders, responding to a wide range of enquiries, directing requests to the appropriate person or team, building strong relationships, and supporting event planning activities. Maintain and share up to date knowledge of policies, procedures, and organisational updates, ensuring teams and offices are informed of any changes or new information. Coordinate and deliver initiatives that enhance staff engagement and foster a positive office culture, including internal events, wellbeing programs, and recognition activities. Partner with support functions including Finance, Health Safety and Security and Environment (HSSE), Human Resources (HR), Information Technology to implement and communicate initiatives, processes and events Coordinate new starters and departure processes Asset Management of Stantec equipment (e.g. IT peripherals) Responsible for compliance with quality, safety and environment policies and processes including assisting with audits when required To be successful for this role you'll need: Qualification in relevant discipline such as Business Administration or equivalent relevant experience Demonstrated experience leading and delivering excellent administration and office management services, preferably in remote teams People management skills Strong verbal and written communication skills Excellent organisation and time management skills, including the ability to multi-task and prioritise work Advanced knowledge of Microsoft Office, with the ability to learn new systems easily Strong client-service focus with a can-do attitude Initiative and self-starting to identify opportunities to provide support pro-actively to the business What we offer Along with a competitive salary we offer many other benefits to ensure your professional development & wellbeing is ongoing.
