About the Role We are seeking an organised and proactive Event Coordinator to support the delivery of Sanitarium’s conferences, events and trade shows. You will play a key role in ensuring events are delivered safely, on time and within budget by supporting logistics, suppliers, samples, collateral and on‑site execution. Working closely with internal teams and external partners, you’ll contribute to seamless event experiences that reflect our high standards of quality and professionalism. Key Responsibilities Assist in the planning and coordination of conferences, meetings and corporate events from briefing through to post‑event wrap‑up Support the development and maintenance of event plans, timelines, run sheets and checklists Gather and collate event information from internal stakeholders to support agendas, attendee experience and logistics Conduct venue research and prepare comparative summaries (availability, capacity, inclusions) Support the Tradeshow Coordinator with business‑to‑business event planning Assist with creative briefings to internal and external design agencies Coordinate merchandise orders, deliveries and gamification logistics Assist with sourcing quotes and coordinating approved suppliers (venues, AV, catering, furniture, freight, branding) Prepare and distribute operational communications including pack lists, run sheets, delivery schedules and bump‑in details Track costs against simple budgets and support invoice reconciliation Maintain accurate event documentation, registers, asset inventories and version control Assist with post‑event evaluations by gathering feedback from stakeholders and suppliers Complete post‑event administration including filing invoices, updating asset registers and restocking materials Follow all WHS and company safety procedures during event planning and delivery What You’ll Bring Minimum 1 year experience in events management/coordination Tertiary qualifications in Event and/or Project Management preferred High level of organisational skills Strong attention to detail Strong collaborative customer focus and team orientation Strong numeracy and literacy skills Proven ability to work under pressure Strong time management skills Outstanding written and verbal communication skills Ability to work independently or as part of a team Problem‑solving capabilities Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint), with confidence using basic spreadsheets and trackers All applicants must be able to demonstrate that they have the legal right to work in Australia.
