Position purpose To provide end-to-end coordination and administrative control across Digital Services operations, ensuring high-quality, compliant, and commercially disciplined delivery. The role supports quotation and CTR preparation, project coordination, travel and mobilisation logistics, reporting, document control, and the preparation of marketing material and presentations. The role is critical to maintaining workflow integrity from enquiry through to close-out. Key responsibilities A. Enquiries, quotations, CTR and commercial administration Coordinate incoming enquiries and maintain a structured pipeline and action register. Compile quotation packs and CTR supporting material, including scope inputs, assumptions, exclusions, timelines and deliverables. Coordinate inputs for rates, schedules, vendor pricing and resourcing with internal stakeholders. Track submissions, follow-ups, clarifications and outcomes, ensuring correct version control. Support PO readiness by confirming scope alignment, deliverables and commercial requirements. B. Project coordination and mobilisation support Maintain the Digital Services delivery calendar, including project milestones, mobilisation dates and deliverable deadlines. Coordinate field resources, equipment allocations, and readiness checks (as directed by the BU Manager/CRP and planning function). Arrange site access requirements, inductions, customer communications and operational documentation packs. Coordinate subcontractors and vendors where required, including onboarding and scheduling. C. Travel, logistics and bookings Book flights, accommodation, hire vehicles and site logistics for field teams. Maintain travel itineraries, ensure cost-effective selections within policy, and confirm readiness for mobilisation. Coordinate freight and shipping requirements where applicable, including batteries and equipment transport processes. D. Reporting and governance support Produce routine reporting: weekly pipeline status, job progress updates, utilisation summaries, and close-out tracking. Maintain registers and evidence packs required for audits and governance requirements (as applicable). Support document control: templates, registers, revision control, and SharePoint or internal filing systems. Coordinate meeting minutes, actions, and follow-ups for operational and commercial meetings. E. Marketing material and presentation support Assist with preparing capability packs, project case studies, customer presentations and tender collateral. Ensure material remains factual, professional, and aligned to brand and approved messaging. Maintain a library of approved imagery, project examples, and standard slides for consistent reuse. Key deliverables Accurate, complete quotation packs and CTR support documentation. Controlled project schedules and mobilisation readiness packs. Verified travel bookings and logistics coordination. Weekly reporting pack and action register. Updated marketing and presentation collateral library. Key relationships Internal: BU Manager Digital Services, CRP governance, planners/coordinators, pilots, technical specialists, finance, HSEQ, procurement, operations, business development. External: customers, vendors, subcontractors, travel providers, site contacts. Required experience and capability Demonstrated coordination and administration experience in a technical, projects, engineering, inspection, or field-services environment. Strong competency in producing professional documents, quotations, schedules and presentations. High attention to detail and confidence managing multiple priorities under time pressure. Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint). Confidence liaising with customers and internal stakeholders professionally.
