About the team – AIS Clinical Services provides system leadership and clinical support to Australia’s high-performance system, including National Sporting Organisations (NSOs), the National Institutes Network (NIN), coaches and athletes. About the role – The focus of this role is to provide professional reception and appointment management for AIS Clinical Services (Sports Medicine and Physical Therapies), and administrative support to the Clinical Services staff. Under direction from Clinical Services Practice Manager, the Clinical Services Receptionist will deliver the quality service and support to achieve business outcomes. This includes: Provide professional frontline reception services for AIS Clinical Services including call management, appointment booking services, room bookings, and maintenance of a professional reception area. Maintenance of the practice schedule and equipment through practice management software and innovative applications and spreadsheets. Under the guidance of the Practice Manager provide administrative support to the Chief Medical Officer (CMO). Provide support to the Clinical Services team in relation to athlete servicing for example assistance with record keeping, management of external appointments and sending referrals. Under the direction of the Practice Manager, assist with administrative day-to-day operation requirements of the Clinical Services staff, including arranging and coordinating meetings, workshops, seminars, conferences and committees, associated travel arrangements and itineraries for staff and national / international visitors. Under the direction of the Practice Manager, assist with some basic financial requirements of the department including producing invoices, sending invoices and assisting contractors. Essential criteria - We are looking for a motivated individual with excellent attention to detail and experience delivering reception and administrative support. The successful candidate will require: Working with Vulnerable People Clearance card for ACT Current First Aid and CPR Certificates or willingness to obtain Experience working within a reception role with an ability to multitask Previous experience with Microsoft Office Application or similar Understanding of confidentially and how it applies in a clinical practice setting Desirable Criteria - The successful candidate will have a strong sense of positive culture and value a learning experience and challenge. The candidate must possess maturity, observance of confidentiality and clinical governance structures, ability to seek and apply feedback effectively and a commitment to collaboration and teamwork. The following criteria is desired: 1 -2 years of experience working within or allied health reception. Experience using practice management software highly regarded. Motivation to work both autonomously and under direct supervision. A track record of high-level engagement in a previous/current role. A continuous improvement mindset and dedication to assisting others. This position is offered as a FIXED TERM position until 30 May 2026, with the possibility of being extended or made ongoing.
