This position will support our team by providing essential administrative assistance and assisting with coordinating project-related activities. Provide high level project administration, coordinating tasks, deliverables, resources and documentation. Support Project Leaders with job costing, time plans, fee preparation, progress tracking and quality assurance. Prepare and format reports, proposals, meeting minutes and other client ready documents. Follow up with internal teams to ensure deliverables are issued on time. Collaborate with Project Leaders, the Project Support Manager and stakeholders to drive project outcomes. Liaise with clients and key stakeholders to ensure expectations are understood, managed and met. Coordinate the collection, collation and distribution of documentation to clients. Assist project staff with client interactions and ensure high responsiveness. Ensure adherence to NDY’s Quality System and WHS practices across all project activities. Coordinate internal and external audits, review non conformances and support corrective actions. Compile and analyse project data, identify issues and prepare status or progress reports. Contribute to continuous improvement by refining systems, processes and procedures. Mentor and guide junior administrative staff, supporting their training and development. Promote a positive, professional, collaborative team environment. Address operational issues constructively and escalate noncompliance where appropriate. We anticipate that this role will initially involve a requirement to work full-time in office, with flexibility to be discussed following a 3-month settling in period. Who We’re Looking For 2-3 years’ experience in senior administrative, project coordination, or project support roles. Experience supporting multiple stakeholders within engineering, construction or a similar technical environment Strong understanding of project lifecycle and project management principles. Experience administering quality management systems (auditing skills desirable). High level organisational skills with the ability to exercise initiative and independent judgement. Excellent communication, interpersonal and stakeholder engagement skills. Ability to maintain confidentiality and navigate sensitive situations with political astuteness. Demonstrated ability to lead, mentor and support others in a team environment. Proficiency with Microsoft Office (Word & Outlook essential; Excel & PowerPoint advantageous). Ability to learn NDY systems quickly. A commitment to delivering high quality outcomes and fostering a cohesive team culture.
