The Company This firm has been intentionally built for people who value clarity, structure, and being trusted to get on with their work. Based just outside Melbourne’s CBD in a professional, well-appointed office, the practice is led by Directors with deep public practice backgrounds who understand what strong operations actually look like day to day. Systems are modern and fully paperless, workflows are documented, and expectations are clear, creating a calm, predictable environment even during busier periods. Ample parking is available, making commuting simple and stress-free. Flexibility is genuinely embedded into the culture. Team members enjoy flexible hours, two days working from home per week, early Friday finishes, and extended Christmas leave. When busier periods arise, overtime is acknowledged and paid accordingly. This is a firm that backs experienced administrators, values operational expertise, and offers a role you can genuinely settle into long term. The Role This is a senior operations-focused administration role central to the smooth running of the practice. You’ll work closely with Directors and the wider team to keep client services, compliance processes, and internal workflows running efficiently. Rather than reacting to daily tasks, this role is about maintaining order, anticipating needs, and being the person others rely on to keep things moving. It suits someone who enjoys ownership, consistency, and being embedded in the core operations of a public practice firm. Key Responsibilities: Overseeing day-to-day administrative and operational functions across the practice Managing ATO and ASIC lodgements, tracking deadlines and ensuring compliance accuracy Acting as a central point of coordination for client documentation and correspondence Maintaining clean, accurate client records across practice management systems Supporting Directors with workflow coordination, scheduling, and operational priorities Preparing documentation, reports, and spreadsheets to a high professional standard Monitoring capacity and workflow, flagging issues early to maintain smooth operations Working with Operations to refine processes and improve efficiency over time Providing consistent, reliable support that allows the wider team to focus on client work The Candidate This role is designed for someone who already understands the rhythm and expectations of public practice. You’ll bring: Proven experience in public practice accounting administration or operations Hands-on exposure to ATO and ASIC compliance processes Confidence working across practice management and accounting systems (Xero experience highly regarded) Strong organisational skills and a naturally structured approach to work Excellent written and verbal communication skills High attention to detail, particularly around deadlines and compliance The ability to work independently, manage priorities, and provide steady operational support A long-term mindset and genuine interest in being part of a firm’s operational backbone Additional Opportunities Alongside this position, I'm working on a number of assignments across the accounting and financial services sector, from boutique firms through to larger practices.
