Job Description Your New Role Reporting to the Executive General Manager, you will provide high‑level administrative and project/divisional support to the Executive General Manager, senior leadership, and the wider team. You will coordinate diaries and meetings, prepare papers and minutes, support board and compliance reporting, manage correspondence and financial processes, and drive continuous improvements to how the Group operates. Please note this is a 12-month contract Core Accountabilities: Group operations & admin: Lead day‑to‑day administrative support to keep core functions running smoothly, maintaining office standards and procedures (incl. TRIM and Outlook) Diary & meeting management: Proactively manage complex diaries, resolve conflicts, and coordinate in‑person and hybrid meetings, tours, venues, equipment and catering. Papers & reporting: Prepare documentation for monthly operational, legal and compliance reports; coordinate inputs for divisional reporting; draft correspondence; and support Development Victoria Board and committee papers. Stakeholder support: Triage and close out actions for senior leaders; manage inbox/es; and maintain strong relationships across a dynamic environment with competing priorities. Financial processes: Raise purchase orders, manage procurement requirements, and process invoices in line with DV systems and delegations. Project/risk support: Assist with project reporting, reviews and risk registers; organise review meetings and maintain awareness of risk management practices. Events & workshops: Organise and facilitate events, workshops and conferences as required. Records & systems: Maintain DV’s electronic filing (TRIM) and Microsoft Office tools; complete ad hoc tasks as needed. Desired Skills and Experience About You Proven experience providing high‑level administrative support to senior managers or teams (government experience highly desirable). Highly organised, proactive and detail‑focused—able to plan ahead and keep the division running smoothly. Strong relationship skills with senior internal and external stakeholders; confident influencing and following up actions. Thrives in a fast‑paced environment with changing priorities; resilient and adaptable under pressure. Comfortable preparing board/committee papers, reports, agendas and minutes within tight timeframes. Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint).
