Position: Contracts Administrator Location: Inner West Brisbane Salary: Up to $95k super (depending on experience) We’re looking for a detail-focused Contracts Administrator to oversee the contract-to-settlement process for a growing real estate agency. You’ll manage contracts, ensure smooth settlements, maintain compliance, and provide clear communication throughout. Responsibilities: Contract Processing & Management: Oversee contracts from acceptance to settlement, ensuring accuracy, compliance, and timely communication with all parties. Manage amendments, special conditions, and any complex negotiations. Settlement & Completion: Coordinate and process settlements, update property statuses, and ensure smooth handovers with zero errors. Proactively resolve potential issues. Trust Accounting & Financial Management: Process deposits, commissions, marketing payments, and reconciliations accurately, maintaining full legal and regulatory compliance. Stakeholder Communication & Service: Maintain professional, timely communication with partners, buyers, sellers, solicitors, and internal teams, keeping stakeholders informed and managing expectations. Offshore Team Support & Quality Control: Train, guide, and quality-check offshore contracts staff to ensure all work meets zero-error standards. Systems Discipline & Process Adherence: Maintain accurate records, follow workflows and SLAs, and identify process improvements. Compliance & Risk Management: Ensure 100% compliance with legal, financial, and regulatory requirements, mitigating risk across all contracts and financial processes. Skills & Experience: Experience in real estate contracts and settlements. Ideal for someone who thrives in a fast-paced, high-volume environment Strong attention to detail and commitment to zero errors. Highly organised, able to manage multiple contracts and deadlines. Knowledge of trust accounting, compliance, and contract law. Professional communicator, proactive problem-solver, and team player. Comfortable using CRM, Docusign, Securexchange and trust systems.
