Purpose of the Role As part of a newly awarded, state-wide government services contract, this newly created Vendor Compliance Administrator role plays a vital part in ensuring subcontractors operate safely, compliantly and in line with contractual, statutory and BGIS requirements. Working closely with Operations, HSEQ and commercial teams, you will manage contractor compliance, oversee vendor panel quoting processes, and maintain high-quality compliance records. This role suits someone who enjoys creating clarity, supporting safe work practices and strengthening governance through strong systems and relationships. Key Responsibilities - Manage end-to-end subcontractor compliance processes using BSAFE and BGIS Connect - Verify licences, qualifications, insurances, SWMS, permits and mandatory certifications - Ensure subcontractors meet all prequalification and ongoing compliance requirements - Coordinate and manage the vendor panel quote process to support compliant, value-for-money outcomes - Work closely with HSEQ and Operations teams to support safe site practices - Maintain audit-ready contractor records, compliance trails and reporting documentation - Track and report contractor compliance status, risks and gaps using Power BI - Support site audits, safety inspections and non-conformance processes - Assist with subcontractor onboarding and provide guidance on systems and compliance expectations Education, Experience & Skills Essential: - Experience in contractor onboarding, compliance, assurance or subcontractor verification - Understanding of safety management systems, risk controls and compliance frameworks - High attention to detail with strong organisational and follow-through skills - Clear, supportive communication and stakeholder engagement capability - Confidence working with digital systems and data to manage compliance outcomes - Willingness to learn and adapt within a structured, regulated environment Desirable: - Experience using BSAFE, BGIS Connect or similar compliance platforms - Exposure to FM, construction or other regulated service environments - Experience using Power BI, Power Automate or workflow automation tools - Interest in improving processes through digital uplift and continuous improvement Workplace Flexibility This role is based in BGIS' Melbourne CBD office , close to public transport. A hybrid working arrangement (3 days office / 2 days WFH) is available post probation. Occasional additional hours or site visits may be required to support operational and compliance needs.
