ABOUT THE ROLE This is a pivotal administration leadership role responsible for the oversight of Australia and Singapore offices. You’ll partner directly with Managing Directors, manage vendors and budgets, and act as the key link between APAC offices and global headquarters. From immigration coordination and office operations to events, compliance and executive support, this role offers variety, influence and regional impact in a fast-moving environment. DUTIES Manage office budgets, purchasing and accounts payable Administer immigration and mobility for expatriates Provide administrative and strategic support to Managing Directors Liaise with building management and third-party vendors Conduct vendor cost analysis and provide recommendations Oversee office maintenance, safety compliance and reception coverage Coordinate meetings, events and office logistics Manage supplies, inventory and support collateral Support travel, expenses, reporting, Salesforce entries and pipeline reports Collaborate with Events and Marketing teams on APAC branding initiatives SKILLS & EXPERIENCE 5 years’ experience in administration or customer service roles Strong verbal and written communication skills Proven ability to prioritise, multitask, and operate effectively in fast-paced, dynamic environments Experience supporting senior leaders and managing multiple stakeholders across time zones Takes initiative, demonstrates proactive thinking, and is engaged with the business to anticipate needs and act independently Comfortable managing complex calendars and coordinating events across multiple locations Preferred exposure to government, intelligence, or military environments BENEFITS Flexible working Wellness allowance Regional scope across Australia and Singapore Close partnership with senior leadership Broad, hands-on operational and administrative exposure Opportunity to collaborate with global headquarters and cross-functional teams OUR RECRUITMENT PROCESS At Lotus People, we are committed to fostering diversity, equity and inclusion.
