About the opportunity: Purpose - You are responsible for the delivery of the full suite of property management services in accordance with Charter Hall policies/procedures, for assets under your management. - You will have a customer service focus, ensuring budgets are delivered accurately and on time, costs are competitive, and risks are minimised. - You are responsible for working collaboratively with both internal and external stakeholders. What you will be doing Leadership - Ensuring, where possible, that a consistent approach to property management is undertaken at all assets under your management (including but not limited to the implementation of Charter Hall policies, procedures and templates related to property management). - For assets to which you are assigned, work collaboratively with the General Manager, Asset Manager and the Capital Works / Operations Manager to develop strategic asset plans for the property, focusing on the asset positioning, leasing, capital works and marketing strategies. - For assets to which you are assigned, work collaboratively with the General Manager, Asset Manager and the Capital Works / Operations Manager teams to build and deliver a capex budget and plan, considering building quality, presentation, operational performance and impending leasing challenges. - Consistently attend and actively participate in meetings related to your assets, the wider property and asset management team, the facilities management contract, along with and any forums where property management attendance is required. - Participate in the creation of policies, procedures and templates outlining the activities of the Office Property Management team. - Assisting with the management of the Facilities Management contract, related to assets under your management (including allocation of resources/fees, interaction with site Facilities Managers and assessment of this provider against KPIs). - Participating, where required, in national projects/initiatives, for the benefit of the broader property and asset management team. - Developing a personal and professional brand as a clear market leader, ensuring Charter Hall is recognised as a high knowledge and high performing organisation. - Guiding and developing the Assistant Property Manager(s) and / or Property Manager(s) within the team to assist you in performing high quality property management administration functions and help aid their professional development. Customer - Implement the Charter Hall “Customer Engagement Guidelines” for assets under your management. - Development and delivery of “Asset Tenant Engagement Plans” at assets under your management. - Undertaking regular inspections of assets under your management and liaising with tenants, with a clear focus on building strong relationships with the Charter Hall tenant customer base. - Building strong tenant customer relationships and closely managing excellent tenant experiences and calendar of interactions - Co-ordinating tenancy fit-outs and make good obligations (for assets to which you are assigned). - Implementing the Charter Hall CRM system. - Focusing on tenant customer engagement; achieving strong tenant customer relationships and high levels of tenant satisfaction. Financial/General Property Management - For assets to which you are assigned, providing the full suite of Property Management functions including (but not limited to): - Taking ownership of the asset budget to ensure that the agreed budget and asset plan revenue, expenses and capital expenditure forecasts are delivered on time and on budget, with a focus on proactively managing property revenue. - Assisting with new lease negotiations and conducting lease renewal negotiations including co-ordinating, preparing and executing lease documentation. - Working with the Capital Works / Operations Managers and Facilities Managers to ensure that major risks associated with public liability, fire and lift safety, essential services, non-essential services, visitors and contractors are controlled (at assets under your management). - Administering leases and ensure charges and receipts are processed accurately and on time. - Ensuring that Tenancy Schedules, Building Stacking Plans and other Schedules/Registers are kept up to date and are accurate. - Ensure rent reviews and rental charges are raised on time. - Ensure financial and monthly reporting is completed on time. - Assist with Valuation Packs when required. - Collecting rents and minimising arrears, through the adoption of a proactive approach to arrears management. - Appointing and managing a diverse suite of professional consultants and contractors across a variety of professions, trades and disciplines in accordance with group protocols. - Overseeing the timely and accurate delivery to senior management of analysis and information for strategic asset plans, valuations, monthly reports, owner’s annual reports, business plans and other reports as required. - Facilitating the implementation of the Strategic Asset Plan initiatives including capital works and leasing outcomes - Overseeing the implementation of sustainability tasks and projects, with sustainability data collected, logged and reported within agreed timeframes (for assets to which you are assigned). - Ensure the timely payment of invoices for contractor and service providers at assets to which you are assigned. - Ensuring all bank guarantees are received and logged for each new lease and, in conjunction with the APM, regular checks to ensure adequate coverage if rent is subject to fixed increases. - In conjunction with APM, ensuring original, fully executed leases are logged and stored to enable recovery as required. - Assisting with the sourcing and acquisition of new properties within the portfolio and managing divestments as part of a capital transactions project team from time to time. Assisting the Development Team from time to time. - Assisting in the review of services contracts. - Assist with other duties as required.
