The Executive Assistant (APS6) to the Deputy Secretary provides high level administrative support and ensures the effective and efficient operation of the Higher Education, Research and International Group on a day-to-day basis. The Executive Assistant is the first point of contact for enquiries and will use excellent customer service skills to interact positively and professionally with a range of internal and external stakeholders. The fast-paced and diverse role will require you to demonstrate initiative, discretion and the ability to manage competing priorities within tight time frames. The key duties of the position include In this role, your responsibilities will include the following: Managing and organising the diary and emails for the Deputy Secretary including scheduling meetings and adjusting where necessary. Organising travel and accommodation arrangements including bookings, itineraries and ensuring accurate records and acquittals are kept Coordinating logistical requirements for meetings, including organising agendas, meeting rooms and briefing materials, for the Deputy Secretary. Triaging urgent, complex and/or sensitive requests including from the Minister's Office, Office of the Secretary and other areas of the department. Supporting Group coordination activities and to ensure tasks, correspondence and briefings are completed and deadlines are met. Managing record keeping processes using departmental systems such as PDMS and in accordance with departmental processes. Providing support and leadership to the Executive EA team, and Higher Education, Research and International EA team.
