You’ll keep our daily operations running smoothly, support our teams, and help ensure people and their families receive timely , high-quality care. From managing referrals to conducting intake screenings, you’ll be the friendly first point of contact that helps our vital services make a real impact. Key accountabilities are: Quality, Compliance & Documentation: Support compliance with NDIS and funding body standards, assist with audits, and maintain up-to-date records for credentialing, registrations, insurance, agreements and staff training. Administration & Operations: Manage invoices, maintain practice manuals, handle stock and maintenance needs, oversee IT requests, reconcile credit cards, coordinate fleet vehicles, and support WH&S requirements. Frontline Support & Reception: Process all referrals, complete intake contacts, provide crisis line information, and manage reception duties including phone enquiries, messages, and general office support. Stakeholder Collaboration: Work with internal and external stakeholders to resolve issues and maintain strong, positive relationships. Recruitment & Onboarding: Support hiring processes, deliver local inductions, and ensure all staff training is recorded and approved. Meetings & Events: Provide secretariat services (agendas, minutes, room setup) for key meetings, and assist with events as needed. General Administration: Ensure all other administrative duties are completed to support smooth service operations. Th is is a fixed term position until July 2026 What We’re Looking For Qualifications & Experience: A relevant diploma/certificate (e.g., Practice Management or Business Administration) or significant experience in mental health/community services. Technical & Administration Skills: Strong skills with Microsoft 365 and systems such as PHN database, IRIS, CIMHA and TechOne, plus the ability to manage administration and IT processes effectively. Communication & Interpersonal Skills: Excellent verbal and written communication, customer service skills, and confidence engaging with clients, clinicians, staff and stakeholders. Client Support Skills: Experience communicating with people in emotional distress and providing ad-hoc support, triage and appropriate responses . Problem Solving & Organisation: Strong analytical, decision-making, time- management and organisational abilities to meet deadlines and improve systems. Mandatory Checks & Requirements: Ability to obtain a Working with Children Check, evidence of required vaccinations, a current driver’s licence, and completion of all probity checks. A Valuable Addition, Yet Not a Must-Have! Tertiary level qualifications in social work, mental health and/or other relevant disciplines. Essential Requirements Proof of COVID-19 vaccination status (or as required by legislation and WMQ policy) Relevant probity checks required by legislation and WMQ Limited policy.
