Your New Role We have a wonderful opportunity for an experienced Executive Assistant to join our Finance team and support our Chief Financial Officer and wider Finance Domain team with administrative leadership. As an ambassador for Finance, this pivotal role can be based in Melbourne or Sydney and will ensure working relationships are built and maintained in a positive and cooperative manner across the Fund. Key responsibilities will include; Administrative management support to the Executive, including proactive management of diary, record keeping, capturing meeting minutes, and preparing executive and board reporting. Lead the support of Heads of Department with Department level calendar management and Departmental leadership. Lead the support of financial management through invoice processing, raising purchase orders and assisting with credit card management and monthly reconciliation for Executive and Senior Leadership Team. Proactively manage travel arrangements and approvals as required. Provide leadership and support the development of the Team Coordinator. Initiate continuous improvement of administrative and departmental processes and procedures to maximise efficiency and effectiveness. Manage Finance domain calendar, including scheduling Group and SLT forums and meetings and supporting development of future meeting agendas, speakers etc. Assist with projects, ad-hoc tasks and events as required to ensure effective running of the Group and Departments What You’ll Need Deep experience working as an Executive Assistant for senior Executives (C-suite preferred), in a fast paced, dynamic environment. Highly developed written and verbal communication skills with experience preparing executive and board reports and papers. High levels of proficiency in MS Office applications (SharePoint, Teams, CoPilot, PowerPoint). Strong stakeholder relationship and interpersonal skills, with the ability to initiate, maintain and develop relationships with colleagues at all levels of the organisation. Demonstrated ability to quickly build and maintain a high level of confidentiality and trust and exhibit the highest levels of discretion and integrity. Strong organisational skills that reflect ability to plan, perform and prioritise multiple tasks seamlessly. Proactive, with a strong sense of urgency, excellence and attention to detail. Ability to adapt to ambiguity and embrace change with flexibility and a growth mindset. Demonstrated resilience with an ability to work under pressure, set and manage multiple conflicting priorities and meet specified timeframes. Pragmatic with strong problem-solving skills and high levels of initiative.
