The Role Reporting to the delivery manager the Business Support Coordinator's purpose is to run and coordinate the day-to-day workshop administrative duties of the Project/Division to achieve the employee's appointed Entity/ Team goals. The Business Support Officer will be responsible for: • Provide as required administration support to your assigned Entity. • Greeting people with a smile and a helpful attitude. • Arrange, prepare required documentation, attend, and minute meetings. • Assist Project Managers with creating job files and issue job packs prior to initial mobilisations to any site or project. • Monitor and track all site-based maintenance work and maintain accurate records. • Liaising and develop effective work relationships with Third parties, including sourcing information on any site-specific requirements for personnel, vehicles, plant, and machinery. • Assist with the onboarding of new starters (I.e., New starter paperwork, Company Inductions, etc). • Organising all mobilisation arrangements (I.e., Paperwork, flights, accommodation, vehicle hire and plant hire, medicals, training, inductions, PPE, etc) for both Team Members and Contractors, prior to requirements. • Collating, coding, and submitting all Project related receipts. • Understand and ensure compliance to the company’s environment, health and safety procedures. • Maintain and manage integrated schedules across all service teams. • Subcontractor management, work order processing and approval • Confirm subcontractor employees attending site are Genus inducted • Scheduling of vehicle maintenance, repairs and testing • Scheduling of equipment allocation, maintenance, repairs and testing • Liaise with clients, project team members, departments, subcontractors and suppliers as required. • Resolves scheduling problems that have a significant impact on the overall goals of the company • Organise and review DBYD for applicable projects • Review programmed work to ensure everything is organised and correct • Accuracy of field staff time sheets and update schedule accordingly Essential Skills/Qualifications/Experience • Qualificationsin Business/Project Administration/Office Management. • 3 Years’ experience in Project Administration. • Demonstrated good safety record and knowledge of Occupational Health & Safety. • Current National Police Clearance. • Valid Driver’s Licence – “C” Class. • High level customer relationship management, communication, and interpersonal skills. • Strong attention to detail. • Intermediate level PC, printer, scanners, and internet skills. • Intermediate level Office, Word, Excel, PowerPoint, and Outlook skills. • High efficiency and accuracy of typing and word processing. • Experience with diary and travel management. • Excellent time management and organisational skills.
