WHAT WE ARE LOOKING FOR : Support Specialist JOB PURPOSE This role plays a vital role in supporting office operations, engaging with donors, and assisting with marketing and social media initiatives. The Support Specialist will be responsible for administrative duties, office management, social media content creation, donor engagement, and additional ad hoc duties as required. You will work closely with members of the Australian team in advancement and mobilisation, as well as the wider global team in the outworking of global strategies. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment. MAIN RESPONSIBILITIES / KEY DUTIES Operations Support First point of contact for email and phone enquiries. Ensure donor information in CRM is accurate and up to date. Provide high-quality donor services. Handle banking, finance, and accounting administration. Oversee general office administration and logistics including incoming and outgoing mail. Maintain stocktake records. Maintain smooth operations across the Australian office. Manage general office operations, including supplies inventory. Assist with organising and supporting team meetings, including taking meeting notes and distributing action items. Process incoming mail and ensure that correspondence is handled efficiently. Assist with day-to-day administrative duties, including filing, data entry, and maintaining records. Provide support for special projects and initiatives as needed. Coordinate and handle office logistics to ensure smooth operations. Donor Engagement Help develop and implement donor services. Assist with ongoing donor communication plans. Serve as a key point of contact for donor enquiries via email and phone, providing prompt and courteous responses. Assist in managing donor databases and tracking communications to ensure timely follow-ups. Help with the creation and distribution of donor communications, including newsletters, thank-you letters, and other stewardship materials. Support fundraising events and initiatives, assisting with coordination and communication. Marketing and Campaign Coordination Assist in creating marketing materials. Assist in outworking communication and marketing strategies. Assist in creating, scheduling, and managing social media content across various platforms (Facebook, Twitter, Instagram, LinkedIn, etc.). Help develop basic marketing materials and campaigns to promote our initiatives and engage with the community. Monitor social media interactions and report engagement metrics to the team. Volunteer Coordination Coordinate volunteers for operational and marketing activities. Assist in onboarding and inducting volunteers for various projects and events. Coordinate volunteer schedules, ensuring proper coverage for events and activities. Maintain volunteer records, tracking hours, feedback, and performance. Coordinate volunteer communication, ensuring they receive necessary updates, instructions, and recognition for their contributions. Foster positive relationships with volunteers, providing support and guidance as needed. Organise volunteer appreciation activities and ensure volunteers feel valued. Event Coordination Assist in planning and coordinating events, including fundraisers, donor appreciation events, and community outreach programs. Manage event logistics, including venue booking, catering, guest lists, and event materials. Collaborate with other teams to promote events through social media, emails, and other marketing channels. Coordinate event registration, tracking attendance, and ensuring smooth event operations. Assist with post-event follow-ups, including thank-you notes to attendees and donors, and collecting feedback for improvement. Help maintain an event calendar and ensure that all deadlines and milestones are met.
