About the Department The Department of Foreign Affairs and Trade (DFAT) serves as Australia's foreign service, leading and coordinating the nation's international agenda by engaging with foreign governments and organisations to advance strategic, security, and economic interests. From Australia and across our overseas posts, we cultivate relationships and networks to provide strategic insights, deliver international development and humanitarian assistance, lead on crisis response and offer consular and passport services. The Opportunities We are recruiting for APS6 roles within the Overseas Property Office and Services Division (OPO) , across Property Planning, Estate and Facilities Management, and Project and Program Support . These roles support the planning, coordination, and delivery of property-related activities across DFAT’s global estate, which includes over 1,000 owned and leased properties in 121 overseas locations and a national domestic estate. Successful candidates may contribute to property management frameworks, property leasing and investment planning or governance processes that ensure the department’s overseas property portfolio is fit-for-purpose, sustainable, and aligned with whole-of-government priorities. They may also support the operational management of facilities, ensuring safe, compliant, and efficient environments across the estate. The initial vacancies to be filled from this process are based in Canberra. This process may be used to fill roles in other locations in Australia and overseas. Our Ideal Candidates We’re looking for high-performing people with skills and experience relevant to property planning and estate management. Our ideal candidates will possess some or all of the following Property Officer, Estate and Facilities Management , or Project and Program Support skills and experience: Experience in property planning, asset management, commercial property leasing, investment planning or facilities coordination. Experience in procurement and contract management in private or public sectors. Supporting planning, scheduling, and tracking to ensure timely delivery of projects. Be capable of interpreting and applying property-related policies, guidelines, and legislation. Able to liaise with internal and external stakeholders, including posts, contractors, partner agencies and service providers. Possess strong analytical skills, including the ability to assess property data and actively contribute to planning. Preparing high quality reports, briefings, and documentation for senior stakeholders. Show initiative and sound judgment in managing competing priorities and delivering outcomes. Be comfortable working independently and collaboratively in a team environment. Be familiar with risk management frameworks and project reporting tools. Key Duties Your duties and responsibilities will be aligned to the relevant APS Work Level Standards. Depending on the role being filled, your key duties may include: Property Officers Support the development and maintenance of property plans for DFAT’s overseas estate. Contribute to asset management plans and leased property reports. Assist in inception analysis and prioritisation of property initiatives. Monitor performance indicators and contribute to continuous improvement of planning frameworks. Draft and review documentation such as business cases, contracts, briefings, and reports. Estate and Facilities Managers Coordinate operational management of facilities across the overseas estate. Monitor service provider performance and ensure compliance with contractual obligations. Conduct inspections, review and probe systems and records to ensure operational and compliance requirements are met. Manage project and/or property related databases and maintain accurate records. Support workplace health and safety initiatives and respond to facility-related issues. Assist with property lease negotiations, acquisitions and divestments of property (including defining deliverables, analysis of options, milestones and risks). Assist in managing leases, operating expenses, and maintenance activities. Project and Program Support Officers Assist in planning and delivery of capital works and property projects. Track project progress, budgets, and timelines, and provide updates to senior management. Coordinate resources and support procurement processes in line with government policy. Document lessons learned and contribute to post-project evaluations. Coordinate meetings, prepare agendas and minutes, and follow up on action items.
