We’re seeking a Maintenance Service Coordinator to coordinate maintenance and refurbishment activities across residential and service facilities on behalf of a respected not-for-profit. Key Responsibilities: In this busy role, you will be part of a centralised customer service team that responds to service requests. Your key responsibilities will include: Coordinating day-to-day maintenance operations , including triaging requests, issuing work orders, and ensuring timely completion through the Computerised Maintenance Management System (CMMS). Liaising with internal teams and contractors , ensuring smooth communication between maintenance staff, property managers, and residents. Obtaining and reviewing quotations to ensure best value, appropriate methodology, and adherence to compliance requirements. Monitoring refurbishment projects , tracking progress against timelines and action plans in collaboration with the maintenance and property teams. Overseeing CMMS workflows , ensuring accurate logging, reporting, and data integrity across maintenance activities. Managing contractor performance through regular reviews, KPI tracking, and compliance monitoring, promptly addressing any non-performance issues. Processing invoices and supporting financial administration for reactive, preventative, and project-based works. Supporting continuous improvement , assisting with procedure reviews, data analysis, and software enhancements as a system subject matter expert (SME). Providing administrative and reporting support , including preparing agendas, taking meeting minutes, and producing performance reports and analytics. About You We are looking for a team player who is confident working autonomously but ready and able to help others when required! To succeed in this role, you will bring: Experience in customer service in maintenance coordination, facilities management, or property administration from an office environment. Strong organisation and communication skills , with the ability to manage multiple tasks and priorities. A solid understanding of contractor management, SLAs, and compliance requirements . Confidence in using CMMS or other maintenance software to track, analyse, and report on performance.
