Contract till November 2026 with a possible extension Attractive hourly pay rate $80/hr super 7 hours per day / 21 hours per week (Part time) Hybrid work arrangement (WFH Sydney) PRIMARY PURPOSE OF THE ROLE: As the Donor Services Officer, you will play a vital administrative role in supporting the Foundation’s dedication programs, donor services and finance processes. This detail-focused position ensures the smooth delivery of fundraising and business activities through efficient coordination, accurate record keeping, and professional liaison with donors and suppliers. KEY ACCOUNTABILITIES: Act as the first point of contact for supporter enquiries, providing timely, accurate responses and make outbound calls to thank donors for their support. Processing incoming donations through various channels ensuring timely and accurate data entry and receipting. Maintaining accurate and up-to-date donor records, handling data imports/exports, and supporting data management processes. Coordinate the Foundation’s Dedications Program to meet fundraising objectives: follow up enquiries, liaise with donors and coordinate manufacturing and installation to ensure high-quality delivery. Support finance administration across the business, including timely issuing of invoices and receipts, tracking income and expenditure to ensure accurate reporting and compliance. Organise the Foundation’s Legacy Fund annual grant distributions, applications and acquittals. Undertake analysis for reporting on fundraising initiatives and campaigns for Board papers. ESSENTIAL REQUIREMENTS: Demonstrated experience in an administrative or donor services role, ideally within a fundraising or not-for-profit environment. High attention to detail and accuracy, particularly in financial processing, record keeping, and written communication. Exceptional organisational and time management skills, with the ability to manage competing priorities and deadlines. Excellent interpersonal and communication skills, with a professional and courteous approach to liaising with donors, suppliers and contractors. Proficiency with Microsoft Office suite and CRM databases. Ability to work independently and as part of a small team, exercising initiative and sound judgement. Current valid Australian Drivers Licence. Ability to work outside of normal working hours and on weekends if required.
