As a Correspondence Officer, you will play a key role in managing high-level executive and ministerial correspondence for the division. Working closely with the Principal Advisor and correspondence unit, you'll coordinate, edit, and track responses to ensure they meet departmental standards and deadlines. You will also support records management activities and maintain strong working relationships with internal and external stakeholders.Some of your responsibilities will include:- Coordinate, compile, edit and process the division's executive and ministerial correspondence, briefing notes, parliamentary requests and other correspondence relating to the division in a timely and effective manner.- Prioritise incoming documents and relay promptly to divisional action officers for the preparation of draft replies in accordance with corporate standards and protocols.- Monitor the standard of divisional correspondence for timeliness, content and standards in accordance with government and departmental policies. Monitor responses for these issues and negotiate changes as necessary.- Monitor systems and processes to ensure the division meets deadlines for executive and ministerial correspondence. - Liaise, consult and maintain effective relationships with team members, and internal and external clients. Mandatory qualifications and conditions - Due to this role having access to sensitive data, a criminal history check will be undertaken prior to appointment to the role.Requirements of the role- Excellent written and verbal communication skills.- Strong relationship management skills, with the ability to collaborate effectively across teams.- Proven ability to manage multiple tasks and deadlines in a fast-paced environment.- Knowledge or experience in the use of a workflow/correspondence system would be optimal but not essential.- Previous DocTrak experience is preferred.
