We are looking for a talented Service Administrator to join our team specialising in Parts Operations and Customer Support for our Distribution Business Segment in Geraldton, WA. This role is ‘on-site with flexibility’ full time, permanent opportunity. In this role, you will make an impact in the following ways: Serve as the primary point of contact for customers, both over the phone and in person, building strong relationships and delivering excellent service. Assess customer needs, open work orders, and provide timely updates on repair progress. Support Service Supervisors with invoicing, warranty claims, and customer account management. Manage supplier invoicing, accounts payable, medical bookings, and site access coordination. Oversee technician timesheets, job-related expenses, and training requirements. Assist the Operations Manager with administrative tasks including contractor management, facility maintenance, and compliance activities. Communicate clearly and professionally-both verbally and in writing-with a proactive and positive attitude. To be successful in this role you will need the following: Demonstrated service administration in a similar industry, automotive or mining ERP experience along with Strong skills in Word and Excel An understanding of accounts payable and accounts receivable is desirable, as well as familiarity with financial processes/accounts and purchase orders. Your journey with us matters.” Responsibilities To be successful in this role you will need the following: High school diploma or equivalent; additional technical or vocational training in automotive or mechanical fields is advantageous Strong proficiency in Microsoft Office and inventory/order management systems; ability to generate reports and analyze data Proven experience in parts operations, preferably within the heavy vehicle, diesel engine, or industrial equipment sectors Excellent communication and interpersonal skills, with a customer-first mindset and the ability to build trust and rapport Demonstrated leadership potential, with experience guiding small teams or taking initiative in a fast-paced environment Strong attention to detail, organizational skills, and the ability to manage multiple priorities under pressure Willingness to comply with export control or sanctions regulations, if applicable Qualifications This role will also support the operations manager with the administrative tasks associated with: Timesheets Direct and Indirect POs Contractor Management Facility Maintenance Compliance activates administration Tool calibration HSE metrics Chemical Management System
