RECEPTIONIST / ACCOUNTS ASSISTANT PURPOSE OF THE POSITION The role of Receptionist is to ensure the smooth operations of the office and provide administration support to the Dispatch & Production areas. The role of Accounts Assistant is to provide support to the Accounts & Payroll Officer in the accounts payable and receivable areas. DUTIES Receptionist Answering and directing phones calls Assisting customers with enquiries Processing of customer sales orders into SAP & Desco Arranging the collection, delivery and distribution of the mail Organising couriers when required Archiving when required Providing administration support for other staff, including maintenance of forms Filing General kitchen duties Other office and administration duties as required Accounts Assistant Processing of customer invoices Processing of EFTPOS and credit card payments to the bank and in SAP Processing of supplier invoices Reconciliation of supplier accounts Processing payments to suppliers in SAP and preparing bank files Assisting with debt collection when required Assisting with end of month procedures Reconciliation of the “Cash Sale” customer account Update customer and supplier details in SAP Other accounts duties as required KNOWLEDGE, SKILLS AND ABILITIES The employee must have proficient knowledge in the following areas:- Office administration Basic bookkeeping Microsoft office – Word & Excel Effective verbal and listening skills Organisational skills Analytical and problem solving skills Decision making skills Effective time management skills
