Our client is seeking a highly competent Executive Assistant and Office Manager to provide high-level secretarial and administrative support. This role offers the opportunity to work in a dynamic environment, liaising with various internal and external stakeholders. The successful candidate will be instrumental in ensuring the smooth operation of day-to-day activities, managing correspondence, preparing reports, coordinating meetings, and handling confidential material. This role also involves working closely with other Executive Assistants across the organisation. What You'll Do As an Executive Assistant and Office Manager, you will play a pivotal role in supporting the Executive Vice President. Your responsibilities will include managing correspondence, coordinating meetings, preparing reports, and handling sensitive material. You will also liaise with various internal departments as well as external stakeholders such as board members, investment banks and external consulting firms. Additionally, you will provide general administrative assistance to the wider team, coordinate resources, book travel arrangements for the department. Manage and oversee incoming and outgoing correspondence for the Executive Vice PresidentCoordinate and manage board paper preparation on behalf of the Executive Vice President and teamMaintain an effective filing/archiving system to ensure records and documents are suitably protected from a confidentiality and compliance viewpointLiaise with high profile external stakeholders including board members, customers, service providers, investment banks and external consulting firm representativesProvide general administration assistance to the team, coordinating the use of meeting rooms and resourcesResponsible for the booking of overseas and domestic travel, accommodation and car hire for the wider team What You Bring The ideal candidate for this Executive Assistant position brings a wealth of administrative experience along with exceptional communication skills. You are highly proficient in Microsoft applications and have demonstrated your ability to provide excellent customer service to both internal and external customers. Your previous experience managing international and domestic travel bookings will be invaluable in this role.
