Notting Hill and Hallam based position. The Grounds Maintenance Manager is responsible for planning and managing the Grounds Maintenance Department within the organization. Their responsibility is to ensure that services are provided efficiently and are of correct specification, quality, and cost. The Grounds Maintenance Manager must also provide services at the right price and on time to meet the customers’ demands. The Grounds Maintenance Manager handles the development and organization of processes within their department, ensuring alignment with our systems and processes. They monitor productivity to ensure that they are operating smoothly, and they check our service for defects, fault, or low quality. The main responsibilities for this role entail the following. Overseeing the entire Grounds Maintenance Operations, providing a safe workplace for all employees, staff, visitors, and volunteers and that we comply with all OH&S requirements. The Garden and Maintenance Manager is required to be a member of the WI OH & S Committee. Work Rostering - Ensure that the Grounds Maintenance department is adequately staffed with supervisors and employees to meet the customers’ requirements. Ensure all Grounds Maintenance staff meet all the OH&S standards and appropriate measures are in place to eliminate (minimize) risk. Grounds Maintenance Manager is to have knowledge of the 6 Australian Disability Standards. These are essential for future funding of the organization. Ensure there are appropriate efficient systems in place to accommodate smooth flow of work and able to meet customer’s deadline requirements. Responsible for effective and timely communication within the organization, especially to the Chief Production Officer and Executive Leadership Team and to indirect reports as required. Preparation of forecast Budgets for Grounds Maintenance and with written recommendations and presented to the Chief Production Officer where required. Ensuring the implementation and monitoring of Quality Management System throughout the operations of the Grounds Maintenance Division. Planning and maintaining a Continuous Improvement Process for ISO 90051:2015 Quality Assurance and making recommendations for continuous improvements to the Group Production Officer. Ensure a monthly and yearly stock take is recorded and reported to the Group Production Officer and Chief Operations Officer. Major discrepancies are to be reported to the Group Production Officer. Ensuring we achieve excellence in Customer Service and that we communicate with our customers on their requirements. Ensure costs are kept to a minimum and are measured against the agreed budget plan. Ensure all preventive maintenance programs for all equipment are strictly adhered to as per manual or manufacturers recommendation. Fleet management for vehicles within the Grounds Maintenance team Ensure and monitor daily reporting systems for the operations and ensure that set budgets are met as a minimum from each group on a daily, monthly, and annual basis. Providing daily / weekly productivity reports to the Group Production Officer. Highlight any major achievements and issues for the week. Provide ongoing on-the-job training and support to all staff and employees. Ensuring all staff and employees follows strict disciplinary procedures regarding timekeeping, absenteeism and professional behaviour. Proposal and recommendation for hiring new Support Staff / additional Staff should be presented to the Chief Production Officer for approval. Hiring Disabled employees shall be done in conjunction with the HR Department and as per the induction procedure and in compliance to Australian Disability Standards requirements. Responsible to ensure that all support staff in the Ground Maintenance Team complete all records for our Funding agreement and for the requirements of the National Standards for Disability Services Planning and implementing holiday rosters for all employees / staff in Grounds Maintenance. Conduct and minute monthly meetings (minutes to be provided to Training and Support Officer team) with all their support staff to facilitate communication and feedback mechanisms within the Grounds Maintenance team. Daily checks on equipment, and regular servicing of equipment with record keeping of the same. Maintenance schedule for equipment updated and reported back to Management. Understanding of Contractual obligations and reporting requirements back to clients.
