The Opportunity As an International Development Proposal Coordinator you will be an invaluable member of Abt's Business Growth team, who will work with internal and external stakeholders, delivery partners, subject matter experts, Abt's leadership team and project delivery teams, to support the development of high quality, client-focused and compliant proposals to the Australian Department of Foreign Affairs Trade (Australia's development program) and other clients and partners across the Asia-Pacific region. The Coordinator plays a key role in information management, scheduling, and communications, contributing to the team's effectiveness in winning new business opportunities with DFAT and other clients. Core Responsibilities General duties and support - Support the Head of Growth with day-to-day coordination and administration of business development processes, such as opportunity tracking and management systems, databases, bid timeframe tracking, reporting and analysis. - Schedule and prepare agendas for business development meetings, record minutes, and follow up on action items. - Track procurement portals and notifications, summarise and disseminate information, and ensure timely action. - Create and maintain file structures and online workspaces for the team and specific opportunities, and support the management of good filing and administration practices to maintain quality document control and information management. - Conduct desk research and data analysis from external and internal sources relating to the proposal process and relevant markets. - Prepare specific briefings on technical and operational matters as requested by the Head of Growth and bid leads. Proposal duties - Support capture planning and proposal development processes, including compliance checks, formatting, and document production. - Support and participate in capture processes, including setting meetings, taking and distributing notes, and sharing information throughout the team - Support the management of proposal logistics including timelines, coordinating and organising agreements and contracts with partners and consultants, and developing bid documents and schedules. - Support internal communication within the opportunity team, including liaison between the bid team, costing leads and other Abt staff. - Support and participate in technical discussions with bid team and teaming partners to help draft proposal approaches. - Liaise with recruiters to establish agreements for key program personnel.
