The Office Manager is responsible for overseeing the functions and controls of the office, including, overseeing recruitment, performance, compliance, administration and mobilisation activities. This role ensures the effective implementation of the business strategies and smooth daily operations aligned with the organisation's policies and vision. Responsibilities include but are not limited to : Managing the planning and review of office services, setting priorities and office service standards - oversee key aspects of the office to ensure it is run efficiently and presents professionally. Manage office equipment, including maintenance and supplies. Managing internal HR databases. Maintaining personnel records and associated human resource information systems. Create and coordinate rosters and staff schedules, including for FIFO (Fly-In Fly-Out) teams Oversee and provide guidance to staff across administration areas such as - assistance with proposals, sourcing quotes, booking flights, booking accommodation, updating databases, employee, recruitment, induction and training. Manage and coordinate staff training and development, including identifying training needs, organising and booking relevant training. Manage the onboarding process for new hires, including orientation, paperwork, and induction process. Ensure new employees are provided with necessary resources, such as equipment, company policies and training. Liaise with clients, site contacts, and customers to ensure staff meet all mobilisation and training standards Coordinate office business services, liaise with suppliers and facilitate resolution of problems. Manage and maintain office records, including HR system and personnel records. Monitor management systems, procedures and policies, ensuring work complies with relevant government legislation. Monitor work performance of staff and assign tasks, where applicable Ensure workplace safety standards and promoting wellness programs are adhered to. Prepare and organise HR/project documents i.e., personnel mobilisation documents and documentation for audits as necessary for HR compliance. Applicants must have a Bachelor's degree in Management or Business as well as at least 1 year of experience as an Office Manager, or in place of a qualification, a minimum of 3 years' experience in a similar office leadership role.
