About Hummingbird House Hummingbird House, Queensland’s only children’s hospice, operates as a medically supported ‘home away from home’ for children affected by a life limiting condition, and their families. The stand-alone purpose-built facility offers 8 guests in care beds, 5 family accommodation suites and a unique ‘end of life’ suite. Underpinned by the notion of creating a ‘warm embrace’ for children and their families, the multidisciplinary team provides 24/7hr scheduled and emergency specialist care short break stays; pain and symptom management; care at the end of life; and psychosocial support programs for the whole family. With strong connections locally, nationally and internationally with specialist paediatric palliative care services, Hummingbird House is an integrated community-based service delivering flexible child and family centred care. About the Role This role is responsible for providing reception and administration support to the Hummingbird House. It supports Hummingbird House in fulfilling its administrative requirements and objectives, with a focus on administrative tasks relating to service delivery. Key Role Accountabilities: Reception duties including phone calls, welcoming visitors and families to Hummingbird House as well as facilitating access for regular deliveries/ trades. Support the operations manager in coordinating repair and maintenance requests. Provide administrative support to key team members including: Coordinate meetings, including booking and set up of venues, organisation of catering, Manage and process invoices, expenses and reimbursements. Support ongoing maintenance of existing database and file systems. Arrange domestic and international travel arrangements including coordination of travel approvals and preparation of itineraries. Recruitment support including the coordination of interviews and onboarding documentation. Data Collection Support the administration of staff timesheets and annual leave including supporting the clinical leadership team in rostering requirements (eg replacing shifts due to absences) Coordinate family and staff events: bookings and all relevant communication with families and staff Ad hoc office administration duties and projects. About You Professional and interpersonal skills including the ability to effectively liaise with a broad range of stakeholders. The ability to maintain confidentiality, discretion and professionalism at all times. Confidence in professional writing and verbal communication. High level teamwork and collaboration skills to achieve objectives and promote positive working relationships. Competent skills in the Microsoft Office suite of applications, especially Word, Excel, Outlook and PowerPoint. Excellent personal organisation skills and the ability to prioritise, work under pressure and effectively in a busy environment.
