Description Salary: HEP 5 $76,459 - $87,825 per annum 17% employer superannuation Contract Type: Full-time, Continuing Hours per week: 36.75/1.0FTE Location: Footscray Park Victoria University (VU) is seeking a skilled and detail-oriented Fees Officer, Student Financials and Scholarships to support the accurate administration of student fees and a wide range of scholarships across our dual-sector environment (Higher Education and TAFE). This role plays a vital part in ensuring compliance, improving processes, and delivering a high-quality experience for our students. About The Role: The Fees Officer plays a central role in the administration of student fee assessments, financial records, and scholarship support. You will work across student systems to ensure the accurate calculation and communication of fees, compliance with policy and legislation, and the provision of high-quality support to students and staff. You’ll collaborate closely with internal teams including Student Services, Colleges, and Central Finance, and contribute to continuous improvement projects and process enhancements aligned with VU’s values. The position is currently located at the Footscray Park Campus of the University however will be required to attend all university campuses as required. The position and incumbent may be relocated to any other existing or future University work locations where it conducts its operations Key responsibilities include: Monitoring and validating student fee calculations in accordance with enrolment data and government legislation. Providing timely advice and high-level customer service to students and staff regarding fees, scholarships, payment plans and refunds. Assisting with the administration of a variety of scholarships (equity, merit-based, and externally funded), including processing applications, supporting selection panels, and communicating outcomes. Maintaining and reporting on student financial records, ensuring accuracy and compliance with audit and policy requirements. Identifying fee anomalies or non-standard cases and apply appropriate decisions in line with VU and legislative policy. Contributing to debt management processes, including encumbrances, invalidations, and reporting. Collaborating with other administrative areas to improve the student financial experience. Supporting peak periods with flexibility and a team-oriented mindset. About You: You are highly organised and thrive in a fast-paced environment where attention to detail and service excellence are key. You bring a strong understanding of tertiary education fee systems, can interpret complex policy with confidence, and are motivated to support students throughout their journey. To be successful, you will have: A relevant tertiary qualification or an equivalent combination of education and experience. Demonstrated knowledge of student fee processes and policies (e.g. HECS-HELP, FEE-HELP, SA-HELP, VSL). Strong analytical and problem-solving skills with the ability to provide accurate advice and escalate issues where needed. Well-developed written and verbal communication skills. Proven ability to prioritise tasks, work independently, and collaborate in a multi-skilled team environment. Proficiency in student systems and software (e.g. Microsoft Office Suite, particularly Excel). Desirable attributes include experience working in a tertiary or dual-sector education setting and familiarity with managing scholarship programs and sponsored students.
