What this job involves – Manage the provision of facilities services in a Commonwealth-Owned Property within the designated WoAG portfolio. Develop sound working relationships with key client staff and key tenant representatives located in the property. Manage the day-to-day client activities for the assigned property/facilities. This position will assist the Manager Operations – Centres for National Resilience to deliver the full range of services for the Entity. Partnering with the Client/Stakeholder(s) Proactively engage client stakeholders to ensure that on site tenant’s expectations are met Build, develop, and maintain effective client / stakeholder relationships across multiple levels of the organisation Facilities management services Management of Facilities as designated by the Manager Operations – Centres for National Resilience Create and maintain a site field manual that accurately documents all negotiated financial and procedural agreements between building owner and users Ensure compliance with statutory regulations on fire, health and safety standards Recommend continuous quality improvement practices and implement Industry Best Practice operations Implement building procedures and performance measures and ensure they are always maintained Manage, negotiate, and communicate effectively with contractors, clients and onsite staff Ensure all Critical Environment (CEM) requirements are met Review existing operations regularly to reduce costs, improve operational standards, and implement resource efficiency and sustainability initiative Ensure disaster recovering and business continuity plans are implemented and maintained Participate in and support drills, training, and other exercises designated by Manager Operations – Centres for National Resilience Keeping the numbers in check Actively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the JLL Code of Ethics Ensure financial processes are always followed Ensuring everyone stays safe This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules. Report and escalation of WHS near miss/good catches and incidents in accordance with CMO reporting tool and escalation matrix. Keeping an eye on the site & operations Recommend continuous quality improvement practices and implement Industry Best Practice operations Continuously monitor contractor performance and suitability for works onsite, ensuring works are delivered within the WoAG contract service level agreements and to a high standard Maintain up-to-date asset information within JLL’s asset management platforms, providing updates and undertaking regular gap analyses Regularly review all maintenance schedules to ensure required activities are being undertaken at appropriate intervals 24/7 emergency call support and site attendance is required Use and maintain a property database Preparedness to develop a strong understanding of the various property management database systems Complete, update and maintain applicable web-based management information systems, including uploading various property documentation Ensure all data is held accurately in our systems to allow payment in a timely manner Limiting Risk to JLL & WoAG Ensure the JLL Operational Risk Management (ORM) program is implemented and maintained. Ensure escalation procedures and incident reporting procedures are implemented and maintained Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies Before you apply it’s worth knowing what we are looking for: Demonstrated knowledge of building technical services, especially HVAC, fire protection and electrical services. Ability to deal with a variety of complex issues concurrently, within tight operational deadlines. Goal oriented and focused on meeting performance targets.
