About the Role The Administration and Intake Officer will work closely with The Way Back Support Service (TWBSS) Manager and the Suicide Prevention Services Manager to ensure that the daily administration function of both TWBSS and other Suicide Prevention Services run efficiently and effectively to provide a quality service to people and families/friends. This role will be responsible for the processing all referrals and conducting intake screenings. As the first point of contact for incoming clients, the Admin and Intake Officer will take a person led, trauma informed approach to client interactions, along with accurately and effectively completing intake assessment documentation. Key Role Accountabilities: Ensure that the administrative components of all WMQ Suicide Prevention programs are compliant with all required standards including those from WMQ, Beyond Blue and various funders. Support the process of compliance auditing and accreditation if required for any of the programs. Ensure that appropriate documentation for credentialing, registration, insurance, service agreements and MOU’s are on record and up to date for all programs and team members. Work collaboratively with a range of stakeholders, internal and external, to ensure that any issues are identified, and problem solved to ensure the long-term ongoing satisfaction. Ensure that all invoices’ payables are prepared for approval in Tech1on a weekly basis. Undertake administration duties including, review and update of practice manuals, stock control and ordering, maintenance scheduling and prioritise actions as required. Undertake reception work including overseeing the fax machine, answering telephone enquiries, taking messages and providing appropriate administration support to staff Undertake the task of processing all referrals and initial intake contact with referred persons. Including any follow up contacts required and providing alternative contact numbers for crisis lines. About You Possession of a diploma or certificate in a relevant discipline (such as Diploma in Practice Management or Business Administration) and/or substantial experience in a similar role in mental health or community services sectors. Demonstrated administration skills with understanding of Microsoft Office 365 applications, PHN database, Iris, CIMHA and, Tech One. Demonstrated ability to utilise highly developed interpersonal skills and specialist knowledge to efficiently manage administration and IT systems. Highly developed communication skills, including written & verbal communication, customer service skills and good telephone manner, and the ability to engage with people, clinicians, staff and stakeholders. Experience with communicating with people experiencing emotional distress and ability to provide ad-hoc intervention & triage response to clients’ needs Must possess excellent analytical skills in problem solving, making decisions and developing systems. Must possess excellent time management and organisational skills to meet deadlines for reporting.
