About this role This role will see you provide confidential and comprehensive support on renewable energy projects. Based in the Sydney CBD this role will see you manage: Collaboration with the Finance and Supply Chain Departments for enrolment of new suppliers, requesting purchase orders and monitoring payment of invoices Prepare reports, documents, meeting minutes and correspondence. General word processing including document collection, document management, and contracts. Adhoc Support to other teams ranging from HR, HSEQ, Business Development Team Ideally, you will have experience with the following. Experience in procurement, contract administration or project management is highly regarded. Strong stakeholder management and interpersonal skills that enable strong relationships to be established both internally and externally A self-starter with comfort dealing with ambiguity Strong competency in basic IT, and Operating Systems (Word, Excel, Ppt) – highly desirable. Comfortable performing routine tasks whilst maintaining a high level of detail Core duties and responsibilities include: PROCUREMENT/FINANCE Requesting quotes from suppliers and support the end-to-end procurement process. Liaison with supplier for purchase, and delivery. Enrolling new Suppliers/Vendors and update the system. Recording & monitoring supplier documentation for audit purposes Work with suppliers to ensure quantities and ETAs can be met in line with the operations requirements Generate PRs within Salesforce/ERP. Ensure all PO dates and details in ERP are up to date Make sure documentation for imports is correct/received on time for clearance Monitoring overdue supplier invoices and collaborate with AP for timely payment of the invoices Follow the SOA approval process for POs and invoices ADMINISTRATIVE SUPPORT Liaison and facilitation of service reports in various portals for documentation management support. Update Customers & Suppliers details in the ERP (Salesforce). Attends meeting with the Fields and Operations teams and support what is needed. Support Travel bookings for Field Teams Work with the QHSE manager and ensure suppliers documentation and records are up to date Manage mailbox and inbound enquiries.
