Job Description
Essential Duties and Responsibilities:
Financial & Procurement
- Oversee procurement, ordering, and installation of furniture, fixtures, and equipment (FF&E) to ensure contract compliance.
- Track project budgets, costs, and margins, performing post-project financial reports.
- Research, compare, and select vendors, suppliers, and contractors based on quality, cost-efficiency, and reliability.
- Assist in negotiating and interpreting contracts to optimize project expenses.
- Manage trade partner agreements, purchase orders, and construction cost estimates.
Project Coordination & People Management
- Support the Vice President of Development in monitoring project plans, critical timelines, and overall progress.
- Assist in scheduling projects to minimize disruption to hotel operations and guest experience.
- Develop and maintain strong relationships with vendors, suppliers, contractors, and internal teams.
- Prepare cost-benefit analyses for potential contractors and vendors for management review.
Guest Experience & Operations
- Collaborate with hotel leadership to schedule renovations without disrupting guest satisfaction.
- Work closely with the design team, hotel General Managers, office staff, and trade partners to ensure smooth execution.
- Preferred experience in hotel and restaurant fixturing, planning, and operations.
Responsible Business & Compliance
- Conduct on-site inspections to monitor subcontractor progress and address delays (travel may be required).
- Maintain up-to-date knowledge of project documents, including plans, specifications, and contracts.
- Assist with punch-list completion and project close-out activities.
- Ensure compliance with Maya Hotels’ policies, safety procedures, and ethical standards.
Education, Skills And Abilities
- Experience: 2 + years of experience in construction coordination, procurement, or project management. Hospitality or commercial experience is a plus.
- Technical Knowledge: Familiarity with construction processes, blueprints, and permitting requirements.
- Communication: Strong verbal and written communication skills for coordination with contractors and internal teams.
- Tech-Savvy: Basic proficiency in Microsoft Office Suite, Project Management software, and AutoCAD (preferred).
- Detail-Oriented & Organized: Ability to manage multiple projects, deadlines, and financial records efficiently.
- Team Player: Collaborative mindset with the ability to work effectively with cross-functional teams.
- Problem-Solving Skills: Ability to troubleshoot project issues and proactively find solutions.
Physical Requirements
- Ability to sit, stand, and walk for extended periods of time and move around construction sites.
- Frequent use of hands for typing, writing, and handling construction material or documents.
- Occasionally lifting items up to 30lbs.
- Comfortable working in both office and on-site hotel environments.
- Ability to travel to various project sites as needed.
