THE ROLE:This position is responsible for providing effective, dedicated secretarial and administrative support to our Regional VP. This role will also be responsible in assisting the Regional VP for the coordination, tracking, monitoring and reporting of the region's strategic plan development HOW YOU WOULD CONTRIBUTE:1. Provide effective dedicated secretarial & administrative support to the VP, including but not limited to:Arrange travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentation.Screen phone calls, enquiries and requests, and handling them when appropriate.Liaise communications through managing flow of information across team members & executive leaders subjected but not limited to summarizing reports/memos received before disseminating to right channelMaintenance of diaries, organizing and managing schedule and making appointments, setting up meetings and maintaining of meeting agendas.Produce documents, briefing papers, reports and presentations. 2. Responsible for the coordination, monitoring and stakeholders’ management of key business projects under APAC region’s business strategies or the DSA (direct selling associate)’s activities, including but not limited to:Oversee projects and report on progress and resourcesUpdate project record/trackerMitigate risks and solve issuesSchedule meetings and set agendas for the core/project teamStakeholder managementKey projects include Post-GM priorities, Regional Strategy Plan 3. Coordinate all Corporate & Distributors’ conference calls and document minutes from all calls/meetings, and ensure timely proofing, approval and circulation of minutes as appropriate. 4. Assist in regional events and/or other external affair support to the regional management team in Singapore as and when required. 5. From time to time, may be given ad hoc assignments and projects by Management, and any other relevant and related duties as may be assigned. SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL:Minimum Higher NTEC in Business Administration or related.At least 8 year’s office, secretarial and/or office administration experiences in multinational company or international environment.Good communication skills with fluent spoken and written English.Excellent PC skills, including MS Word, Outlook, Excel, Visio and PowerPoint to advanced levelGood administration and negotiation skills.Good organizing, coordination and communication skillsExcellent attention to detail, accuracy and thoroughnessMature, pleasant, well-organized and self-motivatedHands-on and willing to roll up sleeves to do the jobs.Good interpersonal and team player skills – strong customer service orientedKnowledge of quality management and document control principlesSound analysis and problem-solving skillsAble to work unsupervised on project tasks with appropriate accountability for resultsAbility to work independently and has good initiative.High level of confidentiality required
