We are seeking a reliable, organised and detail-oriented Accounts, Operations and Property Administration Assistant to join our friendly legal practice. This is a varied and rewarding role suited to someone who enjoys working across accounts, office administration and property administration. The role would suit an experienced bookkeeper, accounts assistant or office administrator who is confident working independently, enjoys variety in their day, and is comfortable managing competing priorities in a busy office environment. About the Role You will play an important role in supporting the day-to-day operations of the practice. Your responsibilities will include accounts payable and receivable, bookkeeping support, office administration, client service and assisting with the management of a small property portfolio. The property management component of the role includes practical tenancy administration, liaison with tenants, preparation of leasing documentation, arranging inspections, monitoring rent payments and assisting with the smooth management of residential rental properties. Training and support will be provided where required, particularly in relation to property administration processes and systems. Key Responsibilities Accounts and Bookkeeping Accounts payable and receivable. Processing payments, receipts and invoices. Maintaining accurate bookkeeping and financial records. Reconciling accounts and maintaining simple ledgers. Assisting with BAS preparation. Monitoring outstanding amounts and following up as required. Liaising with external accountants or advisers as needed. Maintaining accurate records in MYOB or other relevant accounting systems. Office Operations and Administration General office administration and operational support. Managing correspondence, emails and workflow support. Filing, document management and record keeping. Reception duties and client service. Assisting with diary management and internal office coordination. Supporting solicitors and other team members with administrative tasks. Maintaining orderly office systems and procedures. Assisting with improvements to office processes and administrative workflows. Property Administration and Tenancy Management Assisting with the administration of a small residential property portfolio. Liaising with tenants in a professional and timely manner. Organising inspections of vacant properties. Setting up properties for rent, including coordinating required pre-tenancy steps. Preparing residential tenancy agreements, lease documents and associated paperwork. Preparing and lodging bond documents with the Residential Tenancies Authority. Monitoring payment of rent and maintaining accurate rent records. Issuing rent receipts and updating tenancy ledgers. Maintaining tenancy records and related documentation. Coordinating entry condition and exit condition processes as required. Inspecting properties at the end of tenancies and assisting with vacate processes. Coordinating minor maintenance and liaising with trades or service providers. Assisting with general tenancy communications and follow-up. Ensuring property records are accurate, current and well organised. Skills and Experience The successful applicant will ideally have: At least three years’ experience in bookkeeping, accounts, office administration or a similar role. Proficiency in MYOB. Xero experience, or experience with other accounting software, will be highly regarded. A sound understanding of basic accounting and bookkeeping principles. Strong attention to detail and accuracy. Excellent organisational and time management skills. The ability to manage competing priorities and work to deadlines. Strong written and verbal communication skills. A professional and courteous manner when dealing with clients, tenants, trades and team members. Confidence working independently and as part of a small team. Good computer skills and the ability to learn new systems quickly. Experience with LEAP will be highly regarded. Property management, leasing or tenancy administration experience will be highly regarded, but is not essential.
